Job Summary

The Project Manager Junior Level (PMJ) will provide project management coordination and general administrative support to Project Managers (PM).
 

Responsibilities

  • Assists the PMs to arrange filing system for easy retrieval and tracking of files.
  • Loads PMW with budgets and change orders under the direction on the PM
  • Submits / Transmits close-out documents, shop drawings for review, etc.
  • Assists in Vendor set-ups.
  • Requires a high degree of organizational skills
  • Maintains relationships will all project stakeholders, both internal and external
  • Ensures materials shop drawings are obtained\accurate\corrected\signed off in a timely manner.
  • Assists in coordinating with the general contractors, consulting engineers, trades, vendors\suppliers regarding close-out documents.
  • Assists with NOP, ESA, TSSA, municipal building permits and closures.
  • Assists PMs on monitoring WIP reports and works closely with the Operations team to close and invoice.
  • Set up and manage the document management (Lan filing) for projects for PM’s. HMIS Material Safety Data Sheets, WSIB and insurance certificates to different stakeholders, as directed by PMs.  Forwards completed contract documents to customer or customer’s representative, as directed by PMs.
  • Manages and maintains the company’s project database electronically and manually
  • Prepares Operating and Maintenance Manuals per project.
  • Arranges meetings, attends, and prepares minutes as required by the Ops Team.
  • Maintains trades manpower listing by confirming changes weekly with PM’s.
  • Adhere to all company policies and procedures.
  • Perform all job functions in a safe and healthful manner, abiding by and in accordance with all applicable Health, Safety and Environmental company policies and government legislation/regulations.
  • Adhere to the Company’s Quality System operating procedures.
  • Perform other duties as assigned by Management.


Qualifications

  • Ability to provide timely customer service – internal and external
  • Excellent verbal and written communication skills.
  • Proficiency with MS Office applications: Excel and Word are essential.
  • Demonstrated organizational and time management skills.
  • 4 years or more of projects coordination and administration experience.
  • Possess strong interpersonal and problem-solving skills
  • Ability to multi-task, work within a fast-paced environment, and prioritize conflicting demands.
