Job Summary

The Project Coordinator is an essential part of the Project Management team at Ainsworth. The Project Coordinator will be supporting both Mechanical and Electrical project managers with administrative and coordination of project bidding, start up, maintenance and close out. The successful candidate will be an organized self starter with strong analytical skills. They must be able to work with minimal supervision, be able to manage large volumes of information and display keen problem solving and critical thinking abilities. As this an integral role to Ainsworth’s project success, they must be customer focused and a strong team player.



  • Assisting Project Management Team with multiple overlapping projects
  • Prepare project bidding documents including bid bond requests, insurance and other required material
  • Assist with project budget set up
  • Prepare purchase orders and contracts according to Ainsworth processes
  • Assist vendors and subcontractors from purchase order to invoicing
  • Responsible for inputting weekly payroll data into project spreadsheets
  • Prepare and track all monthly progress billing
  • Prepare project initiation documents (project workbooks)
  • Set up and maintain all project files
  • Internal project schedule updates and construction status reporting
  • Attend and participate in project meetings as required
  • Provide meeting minutes for applicable meetings
  • Coordinate all project close out activities, including as build drawings, warranties and O&M manuals
  • Support the team with administrative duties as required
  • Provide final report for lessons learned
  • Adhere to all company policies and procedures.
  • Perform all job functions in a safe and healthful manner, abiding by and in accordance with all applicable Health, Safety and Environmental company policies and government legislation/regulations.
  • Adhere to the Company’s Quality System operating procedures.
  • Perform other duties as assigned by Management.



  • 2-5 years relevant experience within the construction industry is an asset
  • Confident user of Microsoft Office products, Microsoft Project knowledge would be an asset
  • Experience with JDE Oracle would be beneficial
  • Ability to learn and navigate company software programs
  • Positive attitude to customer care and satisfaction
  • Excellent verbal and written communication skills
  • Ability to interact with customers and employees in a timely and professional manner
  • Demonstrated organizational, interpersonal and time management skills
  • Ability to multi-task, work within a fast-paced environment and prioritize conflicting demands
  • Committed to documentation and process
  • Comfortable working in a deadline-driven fast paced work environment
  • Knowledgeable in project management requirements as it relates to coordination and support.
  • Flexible yet decisive
  • A combination of education, project delivery knowledge and work experience will be considered.
