Description

Adswerve is looking for a full-time Office Assistant to help support our Seattle office and growing company. Reporting to the Human Resources Generalist, the Office Assistant will provide administrative and facilities support at our Seattle office, including office management, kitchen upkeep, cleaning, opening / closing of the office, and general facility management. Located in the heart of Ballard, our Seattle office is next to great restaurants and breweries, close to public transit, the Ballard Locks and Golden Gardens. 

In addition to supporting the Seattle office, the Office Assistant will support company operations in Denver and New York, including event planning, facilities requests and travel coordination. Infrequent domestic travel may be required.

Responsibilities

  • Open and close the office, ensuring a clean, organized and secure office space

  • Maintain cleanliness and organization of kitchen, common areas and conference rooms 

  • Place, receive and stow weekly kitchen supply order, ensuring a fully stocked kitchen with uninterrupted employee access to coffee, beverages, snacks, food and keg

  • Manage front desk including answering and routing incoming calls 

  • Greet and assist employees and visitors, including candidates, clients, vendors, and employees from other locations

  • Receive, sort and distribute incoming and outgoing mail for Adswerve and staff

  • Schedule meetings and phone calls for executives

  • Book travel and accommodations for candidates, employees, new hires and clients

  • Order, maintain inventory and organize office supplies 

  • Maintain office equipment (copiers, TVs, etc.) and kitchen appliances, contacting service vendors when needed

  • Perform administrative functions such as copying, scanning, filing, document prep, etc.

  • Serve as primary contact for both employees and building management for all things related to office space, parking lots, maintenance, cleaning, etc. 

  • Submit service requests and follow up with building management related to key fobs, maintenance issues and tenant improvements to ensure on-time completion of work

  • Assist in planning company events and order catering

  • Provide administrative support for departments such as Finance, Marketing and Recruiting to include support with bank deposits, reporting assistance, interview scheduling, material and event preparations for trade shows, recruiting fairs and company events, etc.

  • Manage branded memorabilia (swag) inventory including ordering, prepping new hire welcome swag bags and sending swag to remote employees and clients

  • Collaborate with Human Resources to complete onboarding of new employees, coordinate training and procuring software and equipment for new and existing employees, offboard exiting employees, and assist in the preparation of employee events and meetings

  • Maintain corporate apartment, ensuring cleanliness and that supplies are fully stocked

  • Other general duties and projects as assigned

Qualifications

  • High school diploma required. Associates degree or higher in a business-related field highly desirable

  • 1+ year of relevant administrative and/or office management experience

  • High initiative, resourcefulness, ability to work independently without a lot of guidance 

  • A positive, can-do, solution-oriented attitude with the ability to effectively prioritize, project manage and multi-task in a fast-paced environment

  • Able to collaborate effectively with all levels of management and staff

  • Professional written and verbal communication skills

  • Strong organizational ability and attention to detail

  • Competent in Microsoft Office Suite and Google Apps / G Suite
