What is the Opportunity    
We are looking for an Executive Assistant to join our Business Development and Client Partnerships team. You will provide comprehensive and quality administrative support services to the Executive Vice-President, Business Development and Client Partnerships. The Executive Vice-President manages over 30 employees across four teams: Business Development & Client Partnerships Institutional Market, Private Wealth, Marketing and Investment Solutions (Product Development).    
You will be expected to interact with many stakeholders and the vice-presidents reporting to her. The responsibilities include taking initiative and showing proactivity to meet the needs of the Executive Vice-President.     
    
What you will do        
  • You manage the Executive Vice-President’s schedule by organizing tasks and establishing her priorities, such as: meetings, invitations, and external events;
  • You coordinate the Executive Vice-President’s documents for the Board of Directors, Executive Committee, and team meetings;
  • You prepare business travel engagements as well as expense reports;
  • You provide administrative support, such as reviewing, drafting, and translating documents and communications, updating files, and any other administrative requests;
  • You maintain professional relationships with various business partners and clients;
  • You coordinate the essential aspects of various deliverables with a proactive and practical approach, which includes reporting, presentations, correspondence management, as well as any other tasks that may support the Executive Vice-President;
  • You manage the Executive Vice-President’s e-mails;
  • You participate in the organization of events, both internally and externally, in collaboration with various stakeholders;
  • You provide a high-quality administrative support to team members.

         

What you will need to succeed       

 Experience and Knowledge      

  • You have a college diploma in office administration or a related field;
  • You have more than ten (10) years’ experience in a similar role with an executive;
  • You have experience in the financial industry, an asset;
  • You have excellent knowledge of Microsoft Office Suite, including Outlook, Word, and PowerPoint;
  • You have excellent written and verbal communication skills (both in English and in French) due to frequent interactions with colleagues and clients across Canada.
