As the Accounts Payable Specialist, you will be a hands-on contributor who ensures our financial processes are accurate, timely, and compliant. From invoice processing and vendor management to assisting with month-end close and other accounting activities, your work will directly support ACS’s operational and financial goals.

Your objectives may be similar to:

• Ensuring accurate and timely processing of invoices, vendor payments, and customer compensation.
• Maintaining vendor records, reconciling accounts, and supporting month-end close activities.
• Streamlining financial workflows and supporting process improvements across the accounting team.

Your responsibilities will include, but not be limited to:

Accounts Payable Management

• Monitor the AP mailbox daily, enter invoices into the accounting system, and ensure all payments are processed accurately and on time.
• Analyze accounts payable for discrepancies, reconcile invoices to purchase orders, and obtain approvals from business owners as needed.
• Review and reconcile credit card transactions and utilize integrated bill payment systems effectively.
• Set up and maintain vendor records, including W-9s, contact information, and required documentation.
• Process customer compensation accurately and in compliance with company policies.

Other Accounting Support

• Assist the Accounting Manager with entry-level accounting duties and month-end close to ensure accuracy in the general ledger.
• Open and distribute incoming U.S. mail via scanning and emailing to appropriate recipients.
• Manage EZ Pass accounts, corporate credit card distribution, and other administrative accounting tasks.
• Maintain, update, and report on all vendor contracts and related documentation.
• Perform other administrative or accounting duties as assigned to support overall finance operations.

To excel in this role, you should possess the following qualifications:

• 2–5 years of experience in accounts payable, finance, or related accounting role.
• Strong attention to detail, accuracy, and organizational skills.
• Experience with invoice processing, account reconciliation, and vendor management.
• Comfortable working in a fast-paced, high-volume environment.
• Excellent communication skills and ability to collaborate with cross-functional teams.
• Familiarity with accounting software and integrated bill payment systems is a plus.
• Demonstrated ability to manage multiple priorities and meet deadlines.
