The Refund Specialist is responsible for reviewing and resolving credit balances on patient accounts within the billing system. This includes analyzing explanations of benefits (EOBs) to determine whether credits should be refunded to payers or patients. The Refund Specialist works cross-functionally with internal teams to resolve posting discrepancies, to ensure compliance with organizational policies and payer requirements, and to support accurate and timely refund processing.
This is a remote (TX, NC, SC, or FL), full-time role, 40 hours per week Monday through Friday.
Responsibilities
- Audits encounters and accounts with payers and patient credits in the relevant Practice Management System (PMS) to verify accuracy and resolve discrepancies using established processes.
- Reviews patient and insurance credits in accordance with standard operating procedures to approve refund requests, process appeals and corrected claims, and issue refunds for insurance overpayments.
- Responds to tasks and emails from staff members identifying overpayments and ensures timely resolution.
- Reviews and processes chargebacks using standard operating procedures.
- Contacts payers or patients as needed to resolve credit or refund discrepancies.
- Prepares and maintains required reports as defined by the Management.
- Actively participates in staff meetings in a constructive and solutions-focused manner.
- Maintains effective communication and cooperative working relationships with other departments, staff, providers, patients, and visitors.
- Ensures all refund-related activities are completed in compliance with company policies and procedures, payer requirements, and applicable regulations.
- Other job duties as assigned.
Qualifications
- High school diploma or equivalent
- 2+ years of experience in Revenue Cycle Management performing follow-up, auditing, and payment posting
- Proficiency with Microsoft Office (Outlook, Excel, and Word)
- Strong math, analytical and reasoning skills
- Ability to efficiently multitask, with strong time management and organizational skills
- Demonstrated ability to work independently with minimal supervision
