The Operations Supervisor is responsible for overseeing daily operations across multiple front office locations, supporting teams through effective leadership, provider scheduling, and project execution. This role plays a key part in creating a well-organized, high-functioning environment where staff feel supported and providers can focus on delivering exceptional patient care. As a go-to resource for front office teams, you will provide coaching, process guidance, and operational insight to drive consistency, efficiency, and satisfaction.

This role is full-time (40 hours/week, Monday–Friday) onsite supporting our Boca Raton and Coral Springs offices.

What You’ll Do

  • Provide direct oversight of daily operations across multiple front office locations, including team leadership, provider schedule management, and execution of special projects as needed.
  • Manage office expenses in collaboration with the Regional Operations Manager, ensuring alignment with departmental budgets and operational goals.
  • Ensure staffing levels align with established staffing ratios and oversee hiring needs in partnership with the Operations Department.
  • Manage employee schedules for assigned offices, including shift coverage, approval of time-off and vacation requests, and enforcement of attendance policies.
  • Supervise, coach, and mentor front office staff, including conducting performance evaluations, supporting professional development and career goals, and managing corrective action up to and including termination.
  • Prepare routine operational reports and conduct audits on key performance metrics to ensure departmental objectives are met; identify opportunities to improve efficiency and reduce costs.
  • Serve as a resource to Team Leads in resolving and documenting complex patient situations, including escalated complaints, patient terminations, and office incident reporting.
  • Maintain open and effective communication with providers and senior leadership to support operational alignment and issue resolution.
  • Address escalated employee relations matters in partnership with the Regional Operations Manager and Human Resources.

What You’ll Bring

  • Bachelor’s degree (BS/BA) or 4 years of directly related experience in lieu of a degree.
  • 3+ years of lead or supervisory experience; multi-site management experience strongly preferred.
  • 1+ year of demonstrated customer service experience, preferably within a healthcare setting, with the ability to exercise sound judgment, independent thinking, and problem-solving when addressing customer concerns.
  • Working knowledge of general administrative and clerical procedures.
  • Proficiency in Microsoft Office applications, including Excel, Word, PowerPoint, and Access, with the technical aptitude to work effectively in open systems environments.
  • Experience working with electronic health record (EHR) systems; AdvancedMD experience preferred.

Compensation
The pay range for this position is $54,000 to $65,000 annually.
