As the Operations Supervisor, you will oversee the daily operations of several front offices, including managing the team, scheduling providers, and executing special projects as needed. Your enthusiastic leadership and strong organizational skills will help ensure smooth office operations, leading to high levels of provider and patient satisfaction. You will be a key resource for the front office staff, offering guidance and insights on processes and procedures. This role is crucial in creating an environment where our providers can deliver top-quality patient care.

Responsibilities

  • Direct oversight for multiple front offices' operations including team management, provider schedule management and execution of special projects as needed.
  • Responsible for managing office expenses with guidance from Regional Operations Manager.
  • Responsible for hiring to staff ratios as established by the Operations Department.
  • Manages employee schedules including shift coverage in assigned offices, approving time off and vacation requests and ensuring the attendance policy is being adhered to.
  • Supervises and mentors employees in assigned offices including
    performance evaluations, development of career goals and disciplinary action, including and up to termination.
  • Prepares regular reports and performs audits on various operational metrics
    to ensure department objectives are being met; recommends ways to improve efficiency and reduce costs.
  • Serves as resource to Team Lead in resolving and documenting complex patient situations including escalated complaints, patient terminations, and office incident reporting.
  • Responsible for keeping an open line of communication with all providers as well as upper management.
  • Handles escalated employee relations concerns with guidance from ROM/HR.

Qualifications

  • BS/BA degree or four years of position-related experience in lieu of degree.
  • 3+ years of lead/supervisor experience. Multi-site experience desired.
  • 1+ year of demonstrated customer service skills (within a healthcare setting preferred), including the ability to use appropriate judgment, independent thinking, and creativity when resolving customer issues. 
  • Knowledge of general administrative and clerical procedures.
  • Proficient in Microsoft Office (Excel, Access, PowerPoint, Word) and technical aptitude to work in open systems environments).
  • Experience with electronic health records; preferably NextGen.
