Job Description

We are seeking a hands-on individual with workplace management experience in tech. You will have local knowledge and experience of coordinating fit-out and construction works in Spain.  You have experience of stacking, floor planning, relocations and churn.  You possess working technical knowledge of mechanical, electrical, UPS and structured cabling installations. 

 You will have experience of coordinating local contractors and suppliers at an operational level and the help-desk function.  You have experience of coordinating Health & Safety compliance in line with Spanish legislation working closely with 3rd party consultants.

You will run day-to-day operations of the Barcelona office & Business Center hosting Veeva’s customers. You have a customer service focus driving 5* hospitality to enhance the customer and employee experience as we scale and grow. The successful candidate will have experience of both hard and soft services.  Promoting Veeva’s culture you will work closely with the Head of FM for Veeva in Europe as well as IT and Employees Success functions. 

Responsibilities

  • Support the European Facilities Manager in evaluating local customer needs for alignment of supplier & contractor operational service delivery and output
  • Manage and coordinate all local Hard & Soft services for the Barcelona office
  • Define customer expectations, monitoring & recording KPIs in line with agreed local service levels ensuring quality assurance and continual improvement
  • Regular liaison and engagement with our internal customers, local stakeholders, local suppliers, contractors and service providers
  • Some out of hours work and supervision required during evenings and weekends
  • Ensure local compliance with health, safety and fire legislation, carry out workplace risk assessments, critically review of contractor method statements
  • Issue permits to work
  • Assist, plan and coordinate fire drills with landlord and fire wardens
  • Total familiarisation with all layouts and systems across the Barcelona office
  • Coordination of churn, moves & changes and overall coordination of office services
  • Liaison with external stakeholders and the landlord on day to day operational issues
  • Ownership of the local helpdesk function managing tickets to completion
  • Coordinate planning, execution and set-up of meetings and activities
  • Assist the European Facilities Manager in creating an environment that fosters and enables creativity and enhances the customer journey
  • Day to day management of small projects
  • Some manual handling will be required
  • This is an office-based role

Requirements

  • Fluent Catalan and Spanish speaker with excellent command of English both spoken & written.
  • Knowledge and understanding of HVAC, Electrical, UPS, CCTV, Access Control, Network and Structured cabling systems
  • Professional FM body training, e.g. IFMA, IWFM, RICS
  • Certification in Health and Safety, e.g. IOSH, NEBOSH
  • Fire Safety and First Aid training
  • Experience in contractor and supplier management
  • Demonstrable experience in churn, relocations and fit-outs
  • Word, Excel, ability to read plans and as-builts, raise POs
  • Able to lift up to 23kg
