We are currently seeking an administrative assistant who will provide general administrative support for the EVP, Commercial Services Administration and the SVP, Finance, with limited support in the areas of travel and expense management for 1-2 other executives.  There will be additional finance administration duties that include working with invoice and co-op advertising processing, working with the Uniport system, and special projects as they come up.

Job Functions:

  • Administrative support for assigned executives to include (not limited to):
    • Answering phones
    • Scheduling and managing meetings
    • Booking and coordinating travel
    • Administering expense submission
  • General Commercial Services support to include:
    • Setting up weekly Team meetings
    • Coordinating special projects and events (including powerpoint presentation creation)
    • Vacation tracking
    • Travel arrangements for non-employees (ETA’s)
  • General Finance support to include:
    • Working with Uniport system (setting up and managing vendors, reporting)
    • Invoice processing
    • Working with Fastrac co-op advertising system (data input, data set-up, reporting)

  • Excellent follow-through and attention to detail
  • Excellent organization and time management
  • Excellent customer service instincts and skills
  • Excellent Microsoft office, particularly Outlook, Excel and Powerpoint Presentation skills (good eye for design and technical skills)

Experience:

  • At least 2 years in a corporate office environment
  • Some experience supporting an executive or supervisor with phones, meeting schedules, travel arrangements

Education:

  • Minimum 4 year college completion
