Program Management team members own the discipline of planning, organizing and managing resources to successfully complete specific project goals and objectives. The Program Management team serves as process stewards to lead agency teams by managing all projects from a process and accountability standpoint. The Program Management team instills confidence in the team’s ability to bring great work to life by being process oriented, having a problem-solving approach and by being an expert in the fundamentals of Project Management. We demand that the team be proactive and eager. This discipline requires thinking one step ahead to establish an environment for success for the teams. We expect collaboration without regard to ownership, department of hierarchy.

Summary

  • Day to day management of an account or large project operations

Role: “Problem Solver”

  • Responsible for project and process workflows for assigned client or project.
  • Responsible for operational and production efficiencies.
  • Contribute to allocation, monitoring and optimization of resource allocation.
  • Uses and provides recommendations for improvement of project management tools.
  • Develops and enforce project timelines.
  • Responsible for tracking margin/burn rate at project level and making necessary adjustments.
  • Monitor and report on utilization and profitability across project teams.
  • Driver of process efficiencies and improvements.

Responsibilities

  • Able to independently lead medium to large projects or programs
  • Able to identify the optimal cast whether internal or external (vendors, partners, etc.) to deliver great work.
  • Able to provide both the “art” and “science” to enforcing process – knowing when to be strict and when to be flexible (requires an expertise in understanding the process and ability to create relationships with capability partners to make necessary adjustments.
  • Able to ensures roles and responsibilities are clearly defined on the team to senior leaders.
  • Able to leverage experience to ensure work meets the client, customer and brand requirements and provides input to the internal team as needed
  • Able to drive complex projects to completion within scope, budget and timeframe
  • Ability to analyze financial results on an ongoing basis and effectively communicate the relevant analysis to the leadership team on the business
  • Able to ensure their teams are managing project budgets – regularly communicating to the team hours allocated, hours burned, remaining hours - providing some top level analysis and actively trouble-shooting potential over-runs
  • Able to partner with Operations Leads to determine the appropriate & efficient resource structure for different types of projects
  • Creates, maintains and enforces project schedules, estimates, and resourcing for all projects.
  • Prioritizes tasks and deliverables for each project for the team and issues status reports.
  • Able to serve as point person for a mid level client to manage the flow of complex project information with the client
  • Able to effectively outline an approach, process, etc. in writing either deck or other. Has the ability to gather a cross-capability leadership team to define the approach and then communicate it to senior internal team members or mid level clients
  • Able to effectively push back on internal teams or client when requirements of a project put us at risk for not delivering quality or in-scope work – understands the need to tailor the message based on the audience
  • Able to demonstrate true maturity when dealing with difficult team situations i.e. individual may not always agree with decisions being made but as a leader needs to support the decision within the team
  • Able to demonstrate skill in responding appropriately and sensitively to client concerns, questions, and issues
  • Assesses and manages risk within, and across multiple projects.
  • Ensures a positive, collaborative work environment for the team.
  • Able to manage difficult people situations and to deliver constructive negative and positive feedback

 Characteristics and Qualifications

  • At least 5-7 years’ experience in project management, agency experience preferred
  • Bachelor’s degree or higher
  • Organized—able to sort, file and retrieve information logically and easily.
  • Multi-task oriented—able to handle multiple tasks and deadlines under stress.
  • Detail-oriented—attentive and accurate.
  • Strong team builder with client and cross-capability teams, clarifying roles and expectations and exudes leadership qualities
  • Flexible—able to shift gears easily.
  • Effective communicator—able to communicate to agency staff and clients both verbally and in writing; as well as being a good listener.
  • Self-confident—able to project and instill confidence in others.
  • Self-starter—able to anticipate needs and act without direction.
