Position at Havas

  • General Office Services responsibilities including: receive, distribute mail/packages, manage inventory of office supplies, manage office cleanliness, etc.
  • Coordinate all aspects of meetings and special events as requested.   This includes but is not limited to: pre-event meetings, room set-up, ordering all required services and supplies, refreshment stocking and restocking, catering set up, day of coordination and problem solving, clean up post event, processing invoices, etc.
  • Clean and stock kitchen area as needed.
  • Manage the security badge system for employees; maintain strong rapport with the security vendor and remain updated with security system updates, as they pertain to the security system of the office.
  • Order and stock supplies as needed (office supplies, maintenance supplies, toner, etc.)
  • Maintain kitchen and supply inventory for assigned space.
  • Perform maintenance and minor repairs as needed on equipment and within the facility.  As needed, place service calls.
  • Coordinates space assignments and office moves.
  • Ensures that workspaces are ready for use on a new employee’s first day.
  • Is “easy to do business with” by providing exceptional customer service at all times to our internal as well as external customers.
  • Assist Facilities Manager with office build outs, construction and renovation as needed.
  • Other duties as needed to ensure the smooth operation of the Facilities/Office Services Department.
  • Liaise between the Facilities and Human Resources teams in the Chicago Office to assist with office services requests as needed.
  • Enters time sheets once per week.
