Project Specialist

POSITION TITLE:  Project Specialist


Schmidt Printing is seeking a Project Specialist team member that has a solid understanding of direct mail processes and mailing specifications.  This position will also handle a variety of administrative projects including maintaining Destination SOP’s, Receptionist back-up, maintaining Sales sample area, miscellaneous administrative tasks/projects.  This individual must be detail-oriented and able to communicate effectively internally and externally. The position works closely with the Customer Service, Strategic Account Manager, Pre-press and Production teams.  This position must be able to work in a fast-paced environment. 


Shift available

  • Monday-Friday, 8:00AM – 5:00PM; Additional hours may be required to fulfill job requirements.  During Political mail season this may include evening/weekend hours.
  • Onsite; Team-oriented open office environment for effective collaboration


Job Responsibilities:

  • Communicate with customers, sales, customer service representatives and production during preparation of orders
  • Reviews and manipulates client data files and information flows of customer / list data for integration to digital print job. 
  • Responsible for all direct mail activities including distributing, storing, and processing orders.
  • Responsible for data extraction and list generation.
  • Checks accuracy and relevance of input and output data by visual examination, correcting codes and batching for computer processing. 
  • Verifies output against control totals, reviews format and accuracy of printouts and distributes information to appropriate departments. 
  • Administers, controls and documents the activities related to data planning and development and the establishment of policies and procedures pertaining to its management, security, maintenance, and utilization such as:  modifying, converting, and merging documents; organizing and maintaining databases; and sorting, analyzing and processing all incoming / outgoing records, lists and/or addresses.
  • Ensures lowest postage/shipping costs by analyzing company and customer needs; researching postage regulations, methods and auditing carrier costs and performances; and consulting with production regarding production capabilities and product or packaging size/dimensions.  Interprets laws, rules and regulations regarding shipping and prepares appropriate applications or filings for certifications and licenses.
  • Maintain Destination Shipping SOP’s
  • Receptionist back-up (breaks/lunches/PTO)
  • Front Office miscellaneous administrative tasks (HR tasks, Sales Media Kits, CSR project help, etc.)
  • Daily maintain Sales Sample Cube


Minimum Job Qualifications:

  • High School graduate
  • Highly detail-oriented; excellent proofreading skills
  • Ability to multi-task and work in a fast-paced, team environment
  • Requires strong computer knowledge and skills pertaining to complex databases, especially Excel and postal software programs
  • Print production experience related specifically to direct mail.
  • Must be self-motivated with excellent written and verbal communications
  • Ability to analyze, troubleshoot, and problem-solve complex scenarios


Preferred Job Qualifications:

  • 2-4 years related experience
  • Customer service experience
  • Experience with postal regulations and terminology
