The role: Facilities Assistant

We are looking for a Facilities Assistant to join our busy and dynamic Workplace Operations team in our Bulgaria service office.

Why we need you:-

As Facilities Assistant you will be the point of contact for Facilities, Office Services, Health & Safety issues and requests. You’ll conduct health and safety checks of the offices and make records. Any issues to be reported, actioned and resolved in a timely manner. This role also requires you to arrange general office maintenance and repairs for items around the offices.

You should be the focal point for onsite 1st aiders and Fire Marshals and will be dealing directly with contractors and suppliers providing facilities services. While also the maintenance and coordination of office space, meeting rooms (provision of refreshments, lunches and equipment as required) and available desks.

You will be co-ordinating housekeeping to ensure office space is kept clean, tidy and free of clutter and also providing assistance with the office administration tasks including the correct processing of invoices, liaison with accounts, management of petty cash and costs monitoring. You’ll be ordering and maintaining the supply of office and kitchen supplies ensuring adequate stock levels at all times. This role needs you to sort, organise and deliver all incoming and outgoing mail and courier deliveries and support in ad hoc duties as required.

Who are we looking for:-

You will have previous Facilities experience within a large corporate environment and a current certification in health and safety, manual handling and first aid training advantageous. Having experience in space planning and preparation of floor plans is important, as is excellent communication skills.

You’ll have experience in working with Microsoft Office packages and have an enthusiastic and friendly disposition, be presentable, polite and professional, delivering top class customer service at all times. This role needs you to be able to develop and maintain relationships with colleagues and suppliers of all levels and be comfortable multitasking and prioritising requirements as needed.

You will be practical, able to think on your feet and proactive with the ability to work without supervision. You’ll have a can-do attitude and a full clean driving license.

As the ideal candidate, you will have:-

Having a strong command of the English language is desirable.
