Event Management/ Sports Production Internship Winter Break 2018-Spring 2019

Reporting to the Advanced Planning Director, this unpaid position is responsible for helping to manage the race planning of specific Spartan events.

Major Duties and Responsibilities:

  • Manage race related event planning for specific Domestic events from the time the venue contract is executed through when the Race Execution team is onsite for the event. 
  • Execute based on company standards and Race Director Directive.
  • Plan each event following a specific timeline and checklist and meet specific key deliverable and reporting dates.
  • Work with various department leads and liaisons in the areas of Product Design, Festival Planning, Logistics, Build Operations and Procurement based on firm deadlines and planning checklists.
  • Ensure all parties involved with the advanced planning of an event are meeting firm deadlines.
  • Regularly update a comprehensive web-based tracking system that provides real-time reporting on the status of all future events 2-12 months out providing instant visibility to company leadership.
  • Drives continuity between the Planning Team and Race Execution Teams by ensuring the efficient transfer of event plans and other critical information.
  • Supports all race execution efforts by providing race specific planning information as needed.
  • Leverage technology to effectively communicate.
  • Daily reporting to the Advanced Planning Director with status updates.
  • Attend site visits as necessary to gain as much information as possible.

Secondary Duties will also include:

Event Planning

  • Objective: To provide experiences and skills that will help to develop and educate an intern interested in event planning and have them actively support the Production Department
  • Requirements: Previous event planning experience preferred; familiarity with Google/Microsoft Suite; Interest in sports and fitness; detail oriented; available to work the full 12 week internship with a mix of traditional and non-traditional hours - will include travel; interest in an event planning career within the next 6 months
  • Skills/Experiences Learned: Large scale event planning; budgeting; project management; management of multiple deadlines and lines of communication; mapping software (Illustrator, Google Earth Pro, SketchUp); procurement; general workplace skills

Resource Development/Maintenance

  • Objective: To provide experiences and skills that will help to develop and educate an intern interested in learning how to create and maintain tools that businesses utilize on a regular basis to maintain standards and develop processes and have them actively support the Production Department
  • Requirements: Familiarity with Excel and Google Sheets coding preferred; familiarity with Auto CAD / Photoshop / Illustrator preferred; programming language experience, analytical approach to creating and improving efficiency; interest in sports and fitness; detail oriented; available to work the full 12 week internship with a mix of traditional and non-traditional hours - will include travel; interest in an event planning career within the next 6 months
  • Skills/Experiences Learned: Expanded Excel/Google Sheets coding; background visibility into event planning; expanded experience working in Auto CAD / Photoshop / Illustrator; general workplace skills

Accounting/Budgeting

  • Objective: To provide experiences and skills that will develop and educate an intern interested in the financial operations of an event planning company and have them actively support the Production Department
  • Requirements: Accounting major/background preferred; familiarity with Excel and Google Sheets preferred; analytical approach to creating and improving efficiency; interest in sports and fitness; detail oriented; available to work the full 12 week internship with a mix of traditional and non-traditional hours - will include travel; interest in an event planning career within the next 6 months
  • Skills/Experiences Learned: Pre-event financial planning; post-event financial reconciliation; GL coding and mapping; budgeting; accounting and financial nuances specific to event planning; general workplace skills
