General Purpose of Job

This position provides support to the Financial & Administrative Services department. This position is responsible for updating, maintaining, storing, and managing physical and electronic files based on the document retention policy. The document specialist will be responsible for outlining a long-term storage strategy and working with colleagues to ensure consistency of documentation practice across the department, which may include training employees on efficient documentation usage, among other duties.  Evaluate and implement work process improvements in related areas of responsibilities.

Education

Minimum 

High School or GED

 

Experience

Minimum 

Two (2) years records management, document imaging or related experience using LaserFiche, ImageNow or other document imaging software.

Preferred 

Experience or similar work with an electric utility or related industry.

 

  Other Requirements 

  • Ability to operate a variety of office equipment, including a personal computer, printers, copy machines, telephone, and fax machine.
  • Ability to work irregular hours for assignment completion and flexibility to change scheduling and report to work on short notice during emergency situations.
  • Normal work hours shall be eight (8) hours between 8:00 am and 5:00 pm, Monday through Friday.
  • Successful completion of pre-employment background check, physical and drug screen.

Essential Duties and responsibilities

  • Execute quality control on all incoming documentation with the attention to detail to spot irregularities and non-compliance prior to digitization.  Prepare files for the imaging process. Determines the correct settings to ensure quality of each document.
  • Indexes scanned records and analyzes them for clarity and accuracy. Labeling, sorting, and categorizing documents for ease of use. Ensure all documents have no errors in filenames, submission, etc.
  • Utilize storage software and applications for electronic filing. Organize an archiving system. Prepare documents and records for record retention or destruction.
  • Maintain quality and timely processing of project documentation
  • Performs document imaging and conversion tasks in accordance with federal, state, and departmental quality control standards and procedures; ensures proper documentation and integrity of scanned images.
  • Ensures completeness of files; research missing documents; removes non-essential material; prepares and organizes documents to conform to quality control standards, office procedures and system processes.
