We are looking for a responsible Administrative Assistant to perform a variety of administrative, warehouse and facilities tasks. Duties of the Administrative Assistant include providing support to our managers and employees, assisting in daily office needs and handling our company's general administrative activities.

Responsibilities

  • Answer and direct phone calls
  • Assist office manager with day-to-day operation of our office.
  • Write and distribute email, correspondence memos, letters, faxes and forms
  • Event planning & preparation
  • Make travel arrangements
  • Entering data into MS Dynamics accounting system
  • Request certificates of insurance, pre-liens, bonds and prequalification's
  • Order office supplies, maintain office facilities and equipment
  • Process project closeouts and warranty
  • Warehouse & facilities management, shipping & receiving, operate/maintain forklift
  • Maintain files in Studio360 filing system
  • Provide general support to visitors
  • Act as a point of contact for internal and external clients


Qualifications:

This job might be for you if:

  • Proven experience as an administrative assistant
  • Knowledge of office systems and procedures
  • Working knowledge of office equipment, like printers and phones
  • Proficiency in MS Office (MS Excel, Word and Outlook in particular)
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task
  • High School diploma; associates degree a plus
  • Must be able to lift over 50 lbs
  • Must be open to getting certified operating forklift for business needs
