Renaissance Benefits is seeking a Document Management Specialist to join the team here in Indianapolis, IN.

Please note - this will be an on-site only position due to the nature of the job.

At Renaissance, the Document Management Specialist controls the distribution, storage, and processing requirements for department documentation as well as providing mail support for the entire Renaissance organization.

What will this role entail?  

  • Prepares, scans, and indexes all required documents.
  • Distributes incoming faxes; routes via email to the appropriate person or department or stages/scans/indexes if member related information.
  • Handles returns, distribution, and scanning of dental x-rays.
  • Reviews all mail/emails and delivers non-member related items to appropriate departments.
  • Date/time stamp, stage, scan, and index member related mail and emails.
  • Provides daily/weekly/monthly reporting around productivity/errors.
  • Handles returned mail in a required timeframe to ensure member record is updated.
  • Operates office equipment which may include photocopier, scanning equipment, letter opener, etc. and coordinates scheduled maintenance and service call requests for office equipment as needed.
  • Index items that are scanned for all departments in the organization.
  • Payment processing and handling rejected auto-processed checks, looking up payee info in system, posting payments, and sending checks to DDMI.
  • Daily processing and mailing of claims checks, commissions checks, and other accounting related mailings.
  • Receives incoming mail and prepares outgoing mail with 3rd party vendors, including FedEx, UPS, and USPS.
  • Maintains departmental filing system.
  • Must meet department standards around Service Level Requirements, production metrics and error rates.
  • Assists with other duties as needed.

Minimum Qualifications:  

  • Position requires a high school diploma and one year of mailroom or clerical experience. Will accept any suitable combination of education, training, or experience. Ability to maintain confidentiality and HIPAA compliance at all times.
  • Position requires one year of experience using Microsoft Excel; or basic computer experience.
  • Must be able to work on-site 5 days a week (Monday-Friday, first shift).
