Responsibilities: 

  1. Assist customers both face to face and over the phone to fill parts needs.
  2. Open service and parts orders as needed in the computer system.
  3. Close service and parts orders for billing upon completion of order using the computer system.
  4. Assist in resolving customer problems/complaints.
  5. Research part requirements using computer system and equipment catalogs.
  6. Processes return of warranty parts to corporate warranty department.
  7. Check parts in and out of inventory at the branch location to ensure accurate inventory control.
  8. Ensure return of warranty parts to corporate warranty department.
  9. Maintain records on parts usage and return parts as appropriate to corporate warehouse.
  10. Ship and receive parts and equipment for the branch.
  11. Keep parts stock clean and organized.
  12. Generate accurate purchase orders for parts to corporate office and outside vendors.
  13. Perform perpetual inventory as required and assist in annual inventory.
  14. Assist service technicians with information needed to resolve service issues.
  15. If necessary, work with factories in obtaining correct parts for service needs.
  16. Maintain a clean and professional office environment
  17. Parts/Stock room and office environment.
  18. Some lifting up to 50 pounds may be required.
  19. Some twisting, bending and stooping associated with stocking of parts.
  20. Computer usage (mouse and keyboarding) approximately.

Requirements: 

  • Two (2) or more years of experience as an Administrative Assistant with a service oriented business.
  • Previous experience working with parts inventory is a plus.

  • Strong windows based computer skills including Microsoft Word, Excel and Access.
