Elk Grove Veterinary Specialty & Emergency is now hiring an Office Manager/Clinic Liaison to join their AMAZING team!

Position Overview:

            The Office Manager/Clinic Liaison is responsible for assisting the practice manager in the day to day business activities of the hospital.  This is a leadership position with the additional responsibility of ensuring a positive work environment while maintaining client satisfaction.  This position may use resources of the hospital to accomplish tasks, such as directing and coordinating the employees to ensure tasks are accomplished. In addition this position will also entail acting as the liaison between Elk Grove and our referral community.

Responsibilities:

            Include but are not limited to 

  • Acting as a liaison between practice manager and staff/client issues
  • Assist in the resolution of staff issues.  Train staff in conflict resolution techniques
  • Facilitates resolution of client problems/complaints that doctors or other staff cannot resolve
  • Assist leads in biannual performance reviews.  Helps staff set goals and helps set a plan so that these goals can be obtained
  • Assist practice manager in the development and implantation of new protocols and/or procedures
  • Assist practice manager with planning and organizing all personnel activities – goal parties, staff appreciation parties, holiday parties, CE, etc
  • Assist practice manager and marketing director with new ways to attract and maintain clients
  • Monitors and reports on account receivables. Policy is to keep A/R at less than 5% of gross revenue
  • Resolves financial problems with clients, collecting delinquent accounts and return checks; determine when special financial agreements are appropriate
  • Works as inventory manager to establish an inventory control system to assure adequate stocks of supplies are available
  • Reconciles Monthly Vendor Statements
  • Acting as a liaison between practice manager and sales representatives
  • Assist practice manager and marketing director with monthly staff meetings.  Attend weekly staff zone meetings
  • Monitors Call Source Reporting and implements phone training for team
  • Assist practice manager in obtaining hospital goals: 20% profit margin and yearly growth
  • Assist leads in OSHA training and keeping hospital OSHA compliant
  • Promotes cooperative working environment among staff members; understands the value of teamwork; show enthusiasm and willingness to perform as necessary to help the hospital function as a unit – Spending most time on the floor and easily assessable to assist staff and clients as needed
  • Communicates objectives, motivates staff, help build and maintain morale; maintain core values and standards
  • Assist practice manager with additional duties when she is out of the office such as but not limited to:
    • Time clock corrections
    • Resolve billing conflicts
    • Completing and submitting reports 
    • Acting as a liaison between the hospital and our referring doctors and clients
    • Build an uphold our relationship with the referral community
    • Work to increase our referral cases by building upon these relationships and marketing

Position Requirements:

  • Must be able to work under supervision of the practice manager
  • Must be able to tactfully demonstrate “take charge” capabilities
  • May be required to work uncommon hours, overtime, and be subject to recall in emergency situations
  • Work exposure to the veterinary business with a competence in problem solving and conflict resolution
