Position Summary:

The Senior Manager of Special Events and Projects is responsible for event and program management related to the New York Botanical Garden’s annual giving program, as well as playing a vital role in the cultivation, engagement, and stewardship of the Board of Trustees. The Senior Manager will maintain or support key relationships with Garden donors, staff (full-time and temporary), contractors, and vendors.

 

As a member of the Garden’s Institutional Advancement department, one of the main objectives of this position is to design, produce, and solicit for the Garden’s in-person and virtual touchpoints (events, social media, communications). The Senior Manager will lead campaign- and appeal-based fundraising efforts through special events and projects that generate a gross yield greater than $2 million each year.

 

Partnership will be vital to this position’s success. As such, the Senior Manager is expected to be a collaborative and strategic member of the Institutional Advancement department and the Special Events and Projects team. Additionally, this position supports, through actions and conduct, NYBG’s Inclusion, Diversity, Equity, and Accessibility initiatives and helps to build and maintain an inclusive organizational culture.

 

 

Specific Duties & Responsibilities:

  • Manage all aspects of a special events and projects portfolio (in-person and virtual), generating an attendance ranging, on average, between 25 and 600 participants.
  • Identify, research, solicit, and engage prospective and historical special events donors.
  • Manage event budgets and revenue through detailed data analysis and financial forecasting.
  • Maintain and actively steward a donor portfolio of 75-100 households.
  • Create copy for event collateral including but not limited to: letters, emails, invitations, programs, sponsorship proposals, scripts, post-event press releases, and remarks.
  • Support the production and implementation of Garden events and projects led by other team members.
  • Identify key prospects for event leadership, honorees, and corporate sponsorships.
  • Assist with the management of the Garden’s institutional events calendar, with particular attention to special events, donor engagement, and special projects under the oversight of an Institutional Advancement team.
  • Assist the Director of Special Events and Projects and the Chief Advancement Officer with special projects relating to donor engagement or Board of Trustee support, inclusive of institutional event openings, stewardship activities, Garden tours, individualized gifts, and record upkeep through the Advancement database or paper files.

 

 

Qualifications:

  • Bachelor’s Degree.
  • 3 years of experience in special events management, fundraising, or donor stewardship events, preferably in a comparable cultural institution or non-profit setting.
  • Excellent project and time management, organizational, and interpersonal skills.
  • Strong persuasive and creative writing, proofreading, and editing skills.
  • Interest and capacity to work with a multi-generational and diverse identity environment, inclusive of clients, donors, members, Board members and their families, staff, consultants, and volunteers.
  • Propriety, thoughtfulness, sound judgment, and discretion.
  • Interest and capacity to maintain self-motivation in a high production environment.
  • Willingness to work occasional evenings/ weekends for events and donor visits.
  • Driver’s license.
  • Fluency in Microsoft Word, Excel, and PowerPoint.
  • Knowledge of Raiser’s Edge, SiriusWare, and/or Luminate software preferred.

 

Physical Demands & Work Environment:

 

While performing the duties of this position, the employee is required to, at minimum, sit at a desk, lift or move up to 25 pounds, work outdoors under a variety of weather conditions, and occasionally work under moderate or loud work conditions.

Baseline Work Schedule:

 

Monday-Friday 9am to 5pm.

 

Salary is commensurate with experience within the range of $74,250-$82,500
