Position Description:

 

Position Summary

The General Office Assistant will perform senior level clerical duties requiring general knowledge and application of various complex work methods and procedures.  This role will assist with project coordination to provide communications, coordination, reporting, and administrative support to Green Bank Observatory projects with a primary emphasis on Educational and Public Outreach (EPO) initiatives. Maintains project documentation, prepares project financial reports, and supports administrative tasks of the Program Management Division in its management of EPO and other Green Bank Observatory projects. A key project this job will support (50% of employee responsibilities) is a major NSF-funded initiative focused on solving the problem of students leaving STEM majors after their first or second year of college.

ESSENTIAL DUTIES AND RESPONSIBILITIES 

  • Communicates project activities, progress, status, deadlines, and issues to a variety of targeted audiences, including project partners, funders, West Virginia state representatives, educational institutions, and others.
  • Prepares project status and financial reports for project teams and funders.
  • Tracks plans and schedules to monitor project progress and assist project teams with schedule management.
  • Communicates and meets with the Green Bank Observatory Program Management staff.
  • Attends stakeholder meetings and assists with their organization and planning.
  • Creates and maintains comprehensive project documentation, plans, and reports.
  • Provides administrative support for student recruiting activities.
  • Coordinates travel arrangements, procurements, and travel reimbursement forms in compliance with organizational procedures and processes.
  • Uses project management and organizational tools to monitor project hours, plans, and expenditures.
  • Others duties as assigned.

 

Position Requirements:

Minimum Education: High School/GED.

Preferred Education: Associates degree or college-level course work in education, business, communications, management or related field of study desired, or comparable experience in a professional work environment.

 

Minimum Experience: Minimum of three years of related experience or equivalent combination of education and experience. 

Competencies:

  • Competency with Microsoft software including Word, Excel, Project, and Outlook.
  • Excellent organizational, planning, oral and written presentation and communication skills are critical.
  • Must be flexible and disciplined with acute attention to detail.
  • Ability to work effectively both independently and as part of a team.
  • An interest in formal project management methodologies is desired.
  • The ability to interpret and apply policies and procedures, and to make decisions in accordance with established policies.
  • Knowledge of document management and other administrative tools and processes.
  • Ability to use office equipment and personal computer and email.
  • Standing, walking, or sitting for prolonged periods of time.

Nature of Work: Work is performed in a typical office environment. Some limited (<10%) travel will be required.

Physical Requirements: While performing the duties of this job, the employee typically sits at a desk, uses a personal computer, telephone, photocopier, facsimile, and other standard office equipment; the ability to climb stairs is required. The employee frequently is required to communicate in person, by electronic mail, and by telephone.
