Position Summary 

The HVAC Service Coordinator will work to facilitate the day to day operations of LONG Mechanical Service and Installation of Commercial HVAC Systems in LONG’s Utah office.  This position will be responsible for scheduling technicians, completing paperwork and invoice related to jobs, warranty paperwork, and will remotely help technicians diagnose issues with HVAC systems.

Responsibilities 

  • Handles coordination requirements, material and warranty purchases and returns, literature gathering, and all incoming customer requests for service, installation, commissioning,
  • Coordinates with customer and confirms the time a service technician has been scheduled to perform the required work
  • Communicates to customer immediately when schedules changes or requests cannot be accommodated
  • Schedules service and installation to satisfy contract requirements and optimize manpower utilization while monitoring customer satisfaction
  • Invoices all service calls and completes warranty orders with respective factories
  • Promptly and accurately complete all required paperwork (time cards, job set up, purchase orders
  • Remotely assist technicians with troubleshooting/diagnosing Commercial HVAC System Issues
  • Maintains frequent communications with the field, sales and management personnel
  • Provides customer with confirmation of work completed with phone calls, reports and invoices
  • Assures that no work is performed outside contractual obligations without compensation
  • Other duties as assigned

Required Qualifications 

  • 2 year business education and 3 years of dispatch experience or relevant administration/coordination experience
  • Computer literacy and capability to communicate effectively, both verbally and in writing
  • Posses or be able to have a high degree of knowledge regarding the function of Commercial HVAC Equipment to be able to assist technicians with concepts regarding troubleshooting systems
  • Ability to handle a heavy work load of calls while maintaining a high degree of accuracy
