JOB TITLE: Marketing and Operations Assistant

DEPARTMENT: Transactions

SUPERVISOR ROLE: NO

Salary Range Includes: $24/hr.

 

JOB SUMMARY

Under general supervision, the Marketing and Operations Assistant handles the routine and daily work of the Transactions Group. Interfaces with the leasing/tenant rep teams, EVP and AVP/Paralegal to assist with marketing initiatives, social media initiatives and administrative details by performing the following duties (includes some clerical duties).
 

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Assist with developing and implementing strategies to elevate Company presence on social media and other marketing platforms
  • Assist Marketing Director in design and creation of various marketing material, collateral and presentations
  • Create and assemble marketing packages and maps
  • Maintain properties on Costar and other marketing sites
  • Research/retrieve marketing data from subscription sites to present in reportable format.
  • Perform a variety of administrative tasks including drafting and distribution of business correspondence, expense reporting, calendar maintenance and scheduling of travel, coordination of meetings and events, assist in the order/delivery of marketing materials/promotional items, manage data in spreadsheets and reports, keeping data up to date, filing, and copying
  • Assist with commission invoicing.
  • Review for accuracy, code and input invoices into accounting system.
  • Assist in the coordination/delivery of client gifts.
  • Maintain property and administrative files and assist in the preparation of:
    • Third Party documents
    • Service/Vendor Contracts
    • Construction contracts and project documents
    • General correspondence as directed
  • Perform, or assist with, additional general office duties as requested.

 

SUPERVISORY RESPONSIBILITIES
No formal supervisory responsibilities but may provide informal guidance and/or training to coworkers.                                 

EDUCATION AND EXPERIENCE

  • High School Diploma or General Education Degree (GED) required.
  • Associates Degree or higher preferred.
  • Two or more years of office administration and / or marketing experience preferred
  • One or more years’ experience assisting with the implementation of social media initiatives preferred
  • Background in commercial real estate preferred.                                                                                                        

CERTIFICATIONS, LICENSES, REGISTRATIONS

None required.

  • Ability to read and interpret documents such as reports, policies and procedures, safety rules and ask clarifying questions to ensure understanding.
  • Ability to write routine reports and correspondence.

 

COMPUTER SKILLS

  • Intermediate to advanced skills with Microsoft Office Suite required.
