PRIME Education is seeking an experienced, full-time Meeting Solutions Specialist to be responsible for managing all pre-planning, speaker management, and onsite logistics for live and virtual meetings, which include workshops, national symposia, grand rounds, conferences, small group sessions, studio tapings, webinars, and dinner meetings. Job responsibilities include: organizing and managing all program logistics, research and procure speakers, working with vendors on room setups, menu selection, and audio visual/stage design requirements, coordinating speaker travel, program reporting, and budget management. 40-60% travel within the continental US.

Position Duties:

  • Facilitate all aspects of meeting planning including site selection, vendor negotiation, event registration, and onsite management
  • Manage multiple meetings and tasks with minimal supervision
  • Research, procure, and manage expert speakers on all assigned meetings
  • Review and reconcile spec sheets, facility resumes/banquet event orders, audio/visual and other vendor proposals and invoices
  • Work with Production team to print, collate, and ship program materials for assigned programs
  • Serve as Meeting Planner and/or CME facilitator onsite in order to ensure compliance with applicable regulations and laws, satisfaction of participants, and resolutions of any problems that arise
  • Provide post-program moderator and meeting management report including but not limited to venue observations, speaker/client interactions, and audience questions
  • Conduct research for appropriate intended audience and assist with attendee generation, as may be assigned.


  • Must have Bachelor’s degree in hospitality management, communications or a related field
  • At least 1-3 years verifiable experience in meeting planning
  • Able to travel mild-moderate travel periods, including weekends as assigned
  • Must possess excellent organizational, multi-tasking, communication, and interpersonal skills
  • Be able to work independently or in a team environment
  • Knowledge/Background in healthcare or medical education a plus
  • Ability to fly on commercial planes/trains across geographic regions within the U.S.
  • Able to drive a car
