Role Mission:  

 

IDEA’s HR Compliance Manager supports ensuring all staff are compliant with their training responsibilities, documentation, and adherence to IDEA policies and procedures.  This is accomplished through maintaining a directory of training requirements by department, role, and for all staff, ensuring there are trackers for data visibility on progress toward completing that training, supporting departments on connecting with resources to create high-quality training, maintaining thorough, easy-to-use Employee Handbooks for each state, and developing systems for maintaining compliance with all required documentation.  Staff compliance is crucial for IDEA’s ongoing ability to serve a growing number of students across multiple states on the path to and through college.  Further, the HR Compliance Manager develops and maintains tracking systems and audit programs for the HR Compliance team. 

 

Location:

 

This is an immediate opening for a full-time flexible location position based in Texas, with preference given to candidates who live in Austin, Houston, Rio Grande Valley, San Antonio, and Tarrant County (Fort Worth) or who are willing to relocate.  This position reports to IDEA’s Director of HR Compliance. 

 

Travel Expectations:

 

The expected out of region travel for this position is ~10%.

 

 

What You’ll Do – Accountabilities

 

Essential Duties:

 

  • Ensure all IDEA staff know their compliance responsibilities and can track their progress toward completion of high-quality compliance training 
  • Project manage improvement and audit program for personnel files and document management, including elimination of legacy data systems and streamlining all files/systems into electronic files in Tyler Content Management 
  • Ensure all staff are in compliance with work authorization requirements, including I-9 part 2 
  • Partner with Director of HR Compliance to ensure HR team has proper training and resources to upload and access personnel files
  • Conduct monthly audits of staff in roles requiring specific degrees and certifications 
  • Compile monthly reports to regional and national team detailing gaps in certifications and degrees 
  • Support educators in the certification process required to maintain employment status (SPED, ELL, etc.) 
  • Conduct weekly I-9 audits of staff pending I-9 Section 2 documents  
  • Ensure pending I-9 Section 2 documents are properly submitted by staff member’s 3rd day of work  
  • Conduct weekly audit of I-9 compliance for staff with non-permanent work authorization 
  • Connect with staff members with non-permanent work authorization no later than 6 months prior to document expiration, ensuring staff have plan to renew  
  • Partner with Employee Processing team to ensure receptionists are trained and have access to Tracker I-9 
  • Problem solve with the Operations and Employee Processing teams when there are gaps in receptionist completion of I-9 part 2 
  • Understand data and its uses and optimize ways to visualize data for the HR Team 
  • Build and maintain Data Boards relating to each goal and data point of the Human Resource’s Team 
  • Identify and improve metrics for performance for how we measure effectiveness of Human Resources efforts and provide efficient strategies to collect, access, and review needed data 
  • Provide training to HR team member to ensure all data is accurate and up to date

What You Bring – Competencies

 

Knowledge and Skills:

 

  • Education: Bachelor’s Degree required 
  • Certifications: PHR / SPHR strongly preferred, PMP preferred 
  • Required technology: strong proficiency with Microsoft Office suite required; proficiency with Power BI preferred; intermediate to advanced knowledge of Microsoft Excel preferred 
  • Proficiency skills in keyboarding and file maintenance required 
  • Ability to work with numbers in an accurate and rapid manner required 
  • Ability to interpret and disseminate information to individuals and groups 
  • Effective communication and interpersonal skills 
  • Ability to learn software programs and system processes with ease 

 

Required experience:

 

  • Years of experience: 3+yearsof full-time professional experience in HR or compliance or adult learning 

 

Physical Requirements:

 

  • Must be able to sit for extended periods of time without being able to leave the work area.

Compensation & Benefits:

Salaries for people entering this role typically fall between $74,700 and $87,100, commensurate with relevant experience and qualifications and in alignment with internal equity. This role is also eligible for performance pay based on organizational performance and goal attainment.
