The Role Objective

 

The People Operations Lead is responsible for leading the People Service Hub Pod. Our Pods (there are two) support either our agencies or our lead company and their respective operating companies. Leading the Pod will mean leading a team of People Advisors, who in turn lead a small team of People Coordinators who support the HR Admin need for the business. You will partner with the business to support line managers in motivating and engaging the workforce, treating people as individuals and ensuring fair access to opportunities.

You will have a wide-ranging brief to maintain and develop effective working relationships across

the organisation, creating a trust-based culture that drives long-term performance.

 

A key part of the role is being able handle a fast moving, constantly changing environment with a smile! This role is central to maintaining a cohesive and positive working environment within the HR team, so being hands on and ready to help with whatever comes up is essential.

 

Responsibilities

 

• Line manage a Pod team of ¾ People Advisors who lead a team of 2/3 coordinators each

Deputise for the Head of People Services and lead all aspects of your Pod (team)

• Lead Pod Advisors to manage shared inbox email traffic

• Escalation ER advice to managers and action performance improvement plans, and low level disciplinaries and

grievances

• Lead visas, mobility and immigration processes with advice from Mobility Partner/WPP/Fragomen

• Keep up to date on all Employment Legislation and update policies and procedures with any changes

• Managers guidelines creation and updates

• Support the Head of People Services with adhoc projects

• Lead audit, SOX and GDPR compliance

Senior Escalation point of contact for all employee queries - management of the team shared inbox (prioritising tasks for payroll and HR - sorting in addition to dealing with queries such as reference requests / PO’s etc.)

Ability to lead a team of People Advisors for your respective business area and mentor your Advisors to support their People Coordinators

• Responsible resource planning amongst your team to ensure business-as-usual and projects are completed at a high level and on time.

Leading on the data integrity within your Pod, ensuring all information submitted into Workday is accurate

ER support to managers and action performance improvement plans, and low level disciplinaries and

grievances

Spot check the monthly payroll

• Responsible for all HR administration for your Pod.

Workday upkeep and cleansed data – to ensure all payroll amendments are tracked in Workday accurately and in real time.

• Lead visas, mobility and immigration processes with advice from Mobility Partner/WPP/Fragomen

• Keep up to date on all Employment Legislation and update policies and procedures with

any changes

• Managers guidelines & Policy creation and updates

• Family pay and process conversations with employees

• Lead audit, SOX and GDPR compliance

• IR35 & Yuno Juno

Build relationships with the HR Business Partners, Payroll & Benefits & People Data team to consistently improve our employee experience through HR Operational practices.

• Action and compliance around Audit, Sox and GDPR

Strong understanding of all HR policies, processes and systems

• Contribution to the generation of ideas and assist the wider HR team and Head of HR in the delivery

of HR projects and initiatives across the Company.

 

 

Data

• Responsible for the Pod’s accurate inputting and maintenance of data resources and managing the HRIS

• Collate data quarterly for quarterly index reports to be shared with key stakeholders

• Generate ad hoc report from our HRIS to support the HRBP and managers with business information

 

Skills and Behaviours

 

• Have a proven track record as a pro-active and self-motivated senior People Advisor/ HR Operations Lead or HR Operations Manager seeking to implement the skills you have gained throughout your career to date.

• Be able to demonstrate sound influencing skills.

Line Management / Mentoring experience leading a team.

• Possess the ability to use good judgement when advising the business on appropriate actions.

Demonstrable current generalist HR knowledge in employee relations, performance management, organisational change, reward and recognition and employee legislation.

• Ability to analyse information and present it in a concise and impactful manner.

• Ability to deal effectively with change and ambiguity.

• Confidence in building relationships with all levels of staff.

• A compelling communicator, persuasive and confident in your client management and presentation technique.

• Excellent written and oral communication skills.

• Driven to achieve results and takes accountability.

• Works collaboratively – recognises the value and responsibility of working in a team and seeks to maintain and build effective relationships both internally and externally.

•  Deals constructively with frustration and pressure, maintaining a professional and positive manner.

• Experience using HR systems (Workday) desirable.
