We are looking for a full-time, energetic Senior Facility Manager who is a natural self-starter with strong organizational skills to direct general office operations for our new office in Chicago.  The ideal candidate will enjoy interacting with co-workers, vendors and outside guests. Candidate must have the ability to recognize and manage all facilities-related issues, work in a professional manner, and multi-task between several projects while maintaining a cheerful and fun attitude (don’t sweat the small stuff or take yourself too seriously).  The Senior Facilities Manager will support our growing company through a blend of operations, administration, and special projects.  You will manage all facilities, maintenance, food service, space planning, and security items and issues. You will also be responsible for office activities such as visitor management, mail/shipping/receiving, inventory, purchasing, vendor management and other facility management areas.  

Responsibilities include:
  • Ensure that the office runs smoothly on a daily basis by supporting all office functions in a fast-paced environment
  • Responsible for facilities day to day operations, including but not limited to: managing visitors, owning the maintenance ticket system, ordering supplies and snacks, managing the conference and training rooms, coordinating on site events and lunches, and light general cleanliness of office
  • Working with landlord/property management to ensure high level quality operation of building mechanical/HVAC/electrical system, ensuring the environmental comfort level of the overall office
  • Ensure that janitorial services are meeting standards and report any deficiencies on a daily basis to the landlord or janitorial services provider
  • Coordinate facility/furniture aspects of employee on-boarding program
  • Develop and maintain vendor relationships, manage vendors and service providers, and take ownership of sourcing various office resources, negotiate vendor contracts
  • Develop and maintain annual facility budget
  • Work with architects and project managers to complete complex design and construction projects
  • Manage large capital purchases
  • Manage shipments, orders, inventories, and deliveries including office supplies, furniture, food/snacks, and computer related equipment
  • Control and manage building and office access as well as manage all alarm systems
  • Responsible for space planning and management; keeping seating chart up to date, planning for future hires, working with local team to determine adjacencies, handling moves, adds, changes to seating assignments for individuals and teams
  • Serve as main point of contact on behalf of the office for security, property management, shuttle bus service, parking management and outside fitness center

What You’ll Bring:

  • Bachelor's degree required, MBA a plus
  • 10+ years of corporate facility operations experience; high growth tech start-up experience a plus
  • Experience managing multiple locations
  • Experience managing international locations
  • Utility player with a positive, can-do attitude: no job is too small, no challenge too great
  • Team player with strong interpersonal skills including conscientiousness, diplomacy, flexibility, dependability, and last but not least, a good sense of humor
  • Highly people-oriented; excellent employee relations and communication skills
