Your Role

Responsible for reviewing existing document control practices and developing a strategy to advance the program to meet and exceed industry standards and the requirements of provincial legislation and gaming regulators. Reviews all facets of records management to ensure compliance with provincial and regulatory agency laws, regulations, policies and standards.   Reviews, develops, and implements corporate policies, procedures and training to aid with the Company’s compliance with all document/record requirements.

What You Bring

  • Bachelor’s Degree preferably related to records management, information science, library science or related field.
  • Professional certification in records management, such as Certified Records Manager (CRM), Information Governance Professional (IGP) or Certified Information Professional (CIP) is required.
  • Expert knowledge of document requirements and practices in the jurisdictions in which Gateway operates (Ontario, British Columbia and Alberta).
  • An equivalent combination of education and experience may be considered.

Key Responsibilities

  • Develop a data governance program and policies and procedures to meet legislative requirements and the contractual obligations of Alberta Gaming, Liquor and Cannabis Commission (AGLC), British Columbia Lottery Corporation (BCLC), Ontario Lottery and Gaming Corporation (OLG), BC Gaming Policy and Enforcement Branch (GPEB) and Alcohol and Gaming Commission of Ontario (AGCO). 
  • Act as the point-person for the Document & Records Management Program.
  • Develop a system to accurately catalog the inventory of documents and records in Gateway possession, with associated classification, storage, retention, and disposal criteria in line with legislative requirements and AGLC/BCLC/OLG direction.
  • Offer expertise and guidance to departments and employees on records management-related matters, including record retention, disposition, and information governance.
  • Support departments in developing department-specific records management schedules, procedures and workflows.
  • Liaise with document and records management professionals in provincial Crown corporations and regulators such as AGLC, BCLC, OLG, GPEB and AGCO to establish and maintain document retention periods specific to each type of record in Gateway’s possession.
  • Liaise with internal Gateway IT professionals to provide a unified process related to documents and records, whether they are maintained physically or electronically.
  • Understand the function, location, ownership, and life cycle of records across all gaming sites and corporate locations.
  • Perform spot-check compliance reviews and internal audits of compliance to documents and records management requirements.
  • Develop management responses to compliance or audit findings and implement changes as required to ensure compliance.
  • Contribute towards risk assessments, including the assessment of risks associated with the retention, destruction and inappropriate sharing of documents and records.
  • Investigate and remediate any compliance failings pertaining to the appropriate retention of documents and records.
  • Identify emerging trends and best practices within documents and record management and provide recommendations for program improvement.
  • Stay up to date with relevant laws and regulations pertaining to records management (e.g., statutory/regulatory retention requirements, data protection, privacy) and proactively address any changes.
  • Communicate key document and records control processes with individuals across the organization, including gaming sites and corporate areas.
  • Ensure Gateway employees are aware of their obligations around the management of documents and records via the development and implementation of appropriate training materials.
  • Work with Gateway Legal and other stakeholders to navigate legal holds and data requests from governmental or law enforcement agencies or individuals.
  • Raise awareness of the importance of records management, including the benefits of effective information governance.
  • Assume additional responsibilities as required.
