IT Asset Management (ITAM) Analyst

Recipe for Success- 

  • Receive and review recurring invoices from IT vendors, coordinate payment approvals, coordinate payments and store invoice documents in structured SharePoint repository.
  • Optimize payment process for recurring IT invoices including coordinate automatic payments.
  • Receive and review non-recurring invoices from IT vendors, receive associated purchase orders in SAP, coordinate payment approvals, coordinate payments and store invoice documents in structured SharePoint repository.
  • Monitor IT Billing mailbox on daily basis, process invoices for payment and process invoice inquiries to provide payment status update to IT vendors as required.
  • Coordinate IT quotes from designated vendors when required by technical managers and team members.
  • Coordinate IT purchase orders as required once quote is approved from a technical and price perspective.
  • Coordinate approvals and signatures for IT purchase orders.
  • Coordinate delivery of purchase orders to IT vendors.
  • Coordinate IT lease proposals for approved IT quotes.
  • Coordinate approvals for IT lease proposals.
  • Coordinate IT lease execution packages from IT leasing vendors.
  • Coordinate IT approval for lease execution packages.
  • Coordinate Legal approval for IT lease execution packages.
  • Coordinate CFO approval for IT lease execution packages.
  • Coordinate execution of IT lease packages, vendor notification of executed lease packages and storage of leases in structured SharePoint repository.
  • Receive and review recurring IT lease invoices and coordinate payment and storage of lease invoices in structure SharePoint repository.
  • Monitor IT lease period and termination of lease thru $1-buyout process.
  • Monitor IT lease period and termination of lease thru Fair Market Value (FMV) buyout process.
  • Monitor IT service contracts. Coordinate tracking of all service contracts in centralized tool. Coordinate reminder of renewal requirements with appropriate IT Stakeholder.
  • Ensure IT service contracts planned for renewal are renewed with appropriate lead time. Prevent unexpected expiration of service contracts.
  • Coordinate receiving of service contract renewal packages, IT owner approval, Legal approval, CFO approval and execution. Coordinate storage in structured SharePoint repository and other tools.
  • Coordinate shipment tracking of orders. Coordinate shipping communications with Receiving department.
  • Coordinate updates to IT Asset Management tools to update inventory for hardware, software and services.
  • Create IT Asset Inventory reports as required for designated stakeholders.
  • Work with designated IT teams to coordinate monitoring of hardware and software inventory. Coordinate updates to the inventory management tools. Coordinate orders of additional hardware and software at the minimum order level once inventory has reached a minimum level.
  • Update the designated Department and Project budget workbooks as required.
  • Coordinate updates to the CapEx/OpEx labor allocation workbook.
  • Coordinate correct allocation of CapEx/OpEx labor costs for contract and vendor invoices.
  • Work with IT leadership, management stakeholders, Purchasing, Accounts Payable and Finance to continuously optimize the IT Asset Management process.
  • Coordinate checking competitive pricing with different vendors as required.
  • Provide support to the annual budgeting process.
  • Coordinate secure and appropriate hardware disposal.
  • Coordinate asset life cycle thru decommissioning.
  • Coordinate internal customer satisfaction surveys and scoring reports. 
  • Receives general instructions on what is to be done, limitations, quality and quantity expected, deadlines and priority of assignments from Manager.  Uses initiative in carrying out recurring assignments independently without specific instruction but receives additional specific instructions from Manager for new, difficult or special projects/assignments.


 Key ingredients –

  • Bachelor’s in related discipline with or demonstrated capability to perform job responsibilities through previous experience and education
  • Minimum two years (2) of experience performing ITAM responsibilities
  • Strong knowledge and experience with Microsoft Excel
  • Strong knowledge and user experience with Microsoft Office 365 Outlook and SharePoint services
  • High-level familiarity with terminology for network infrastructure, system/server infrastructure, end user computing infrastructure, software and general IT infrastructure. Ability to learn technical services terminology
  • Strong verbal and written communication skills is required
  • Strong interpersonal skills: ability to communicate with internal customers, vendors, partners and business managers across various levels of the organization
  • Well organized, attentive to details and able to meet demanding deadlines
  • Good project coordination skills
