Description

Responsibilities:

  • First point of contact for Burlington Office. Welcome and assist clients or visitors of the company, both in person and over the phone.
  • Open and distribute mail. Arrange couriers and deliveries.
  • Manage a variety of administrative duties (e.g., research, produce correspondence and reports, formatting, assembly of presentations and document management).
  • Respond to internal inquiries and redirect to the appropriate department manager when required.
  • Assist with special projects as assigned.
  • Scheduling and maintaining office calendar of events (board room bookings, special events, etc.).
  • Prepare/reconcile expenses for senior management.
  • Perform records management and document control support functions for all the various phases of documentation life cycle management.
  • Maintain, and update database information, manuals and other associated records.
  • Under the direction of the HR Manager, organize various internal and external events such as employee appreciation, tournaments, fundraisers, business development engagements.
  • Assist HR Manager with creation and distribution of various Eiffage Communications using photoshop, adobe Pro, Microsoft office (word, excel, and pp).
  • Maintain stationery and office supplies ensuring sufficient inventory levels are maintained. 
  • Stock and maintain lunchroom supplies.
  • Order sundry items such as meals, printed materials, etc.

  • Self-motivated. Ability to work alone or in a team environment.
  • Social intelligence: pleasant, positive, flexible and solution-oriented.
  • Technical prowess.

Qualifications

  • 3-5 years’ experience as an Administrative Assistant in a professional environment.
  • Advanced computer skills, including Microsoft Word, Excel, and PowerPoint.
  • Excellent oral and written communication skills.
  • Understanding of marketing and branding strategies, considered an asset.
