Job Summary:

The Theodore Roosevelt College and Career Academy is seeking an experienced School Clerk. The School Clerk will play a key supporting role, serving as the focal point for communication by mail, telephone and in person. S/He will manage the flow of information, both within the school and between the program and the district, and will be responsible for maintaining all program records. To be effective, the School Clerk must be organized and efficient, familiar with all necessary office equipment, including computers and computer programs for word processing, databases, and spreadsheets. Equally important, the School Clerk has a role as a first-contact representative of the school.

Required Qualifications:

  • High school diploma
  • Minimum of 3 years of experience working in an office management or secretarial position in a high school
  • Experienced with all office equipment (i.e. computers, copiers, scanners)
  • Strong skills with word processing, database, basic bookkeeping, and spreadsheets
  • Prior experience with school district database maintenance preferred
  • Post-secondary training and coursework in office management preferred


Essential Duties and Responsibilities:

  • Creating and maintaining a welcoming and efficient front office that emphasizes organization, professionalism, courtesy, flexibility, and teamwork
  • Use proper telephone etiquette and direct calls appropriately to school staff
  • Provide needed assistance and communicate effectively with Principal and all staff
  • Maintain all records, including schedule, student wait list, attendance records, and calendar
  • Responsible for recording, tracking and following up with students and parents
  • Collect student related data (i.e. demographics, financial data, test results, attendance, etc.)
  • Business related processes as assigned by School Operations Manager and Principal (purchasing/expenses, invoices, office supplies, shipping and receiving, etc.)
  • Responsibility for main office voicemail administration
  • Performs other duties as assigned



Skills and Knowledge:

  • Demonstrate a strong sense of urgency by prioritizing and following through on commitments
  • Excellent oral and written communication skills with the ability to utilize technology for communication and instruction to work with parents, students, and other service agencies
  • Demonstrate organizational skills and initiative for working with minimal direct supervision while prioritizing workload
  • Ability to develop appropriate relationships with students, parents, and staff
  • Maintain confidentiality
