Description

ECC is seeking a Administrative Assistant in our Burlingame, CA or Lakewood, CO office. In this position, you will be expected to work in the office at least 2 to 3 times per week. The Administrative Assistant will perform a variety of tasks to support our corporate lawyers, executive team and others as needed to draft documents, conduct research, maintain, and organize files, make required administrative filings, and other duties as assigned. In this position, you will:

  • Gather and arrange information and other legal documents for attorney review and case preparation
  • Organize and maintain documents in paper or electronic filing systems
  • Draft correspondence and legal documents
  • Assist with new corporate entity formations research and documents
  • Assist with joint venture documents
  • Research licensing and regulatory compliance
  • Maintain and file corporate records, including resolutions, board of director changes, annual reports, for subsidiary entities
  • Produce documents related to the development and implementation of corporate policies and templates
  • Provide contract support for standard corporate agreements, such as non-disclosure, and teaming agreements
  • Assist with legal employment issues to include labor law and immigration law
  • Call clients, witnesses, lawyers, and outside vendors to schedule interviews, meetings, and depositions if required
  • Work on special projects and initiatives as directed
  • Maintaining electronic case files of subsidiary entities

Requirements 

  • Excellent written and oral communication skills
  • Proficient in Microsoft Office (Word, Excel and PowerPoint), SharePoint, and capable of learning new software/systems 
  • Strong organization, planning, scheduling, and problem-solving skills
  • Ability to work independently with minimal supervision, as well as with a team
  • Ability to support multiple people and manage multiple priorities in a fast-paced environment
  • Good research skills on relevant laws and regulations, detail oriented
  • Good initiative and follow through
  • Minimum of 2 years of experience as a paralegal, legal assistant or administrative assistant
  • Travel required: Must be able and willing to travel periodically, typically less than 10% depending on the needs of the company.
  • Education:  Associates degree in paralegal studies, business administration or closely related degree program.  A 4-year combination of education and experience may be substituted.

Preferred Qualifications

  • Bachelor’s degrees in Paralegal Studies, Business Law, or similar degree program
  • Completion of a paralegal certification program
  • Prior experience with federal government contractors (FAR, DFAR)
  • Corporate paralegal or legal assistant experience
  • Notary Public (or willing to become a Notary Public within 90 days of start date)
ECC targeted salary range for this position is $50,000 - $70,000 annually.
