Earthjustice’s Workplace Experience & Sustainability (“WES”) team is seeking a Workplace Operations Associate to help ensure seamless office operations and continuous support for staff members. Under the supervision of the Sr. Workplace Operations Manager, the successful candidate will provide operational and administrative support for our headquarters in San Francisco, CA and for the organization. Primary responsibilities will include front desk services, general office administrative support, fostering office culture, and focusing on our safety & security .  
 
This is an in-person, full-time (37.5 hours/week) role. Given that most of this position’s job duties are performed in the office, the successful candidate must work Mondays-Fridays from our San Francisco, CA office.  
 
WHAT YOU'LL DO
 
Reception and Hospitality Services (55%)
  • Deliver a welcoming experience for employees, visitors, and callers by addressing needs in a caring and efficient manner.
  • Perform daily office operations and shared services, including reception management, supporting mail and faxing processes, office equipment (training, regular maintenance, and troubleshooting), conference room readiness, and maintaining cleanliness across common areas.  
  • Monitor emerging workplace, facilities, and operational trends to proactively recommend improvements, tools, and best practices that enhance the employee and visitor experience. 

General Administrative Support (25%)

  • Assist the Senior Workplace Operations Manager in performing departmental administrative tasks, including invoice validation, seating  and space plan management, Workplace Lifecycle processes and intranet and process document updates. 
  • Develop, document, and maintain workplace processes by drafting and editing Standard Operating Procedures and intranet content for new or updated workflows.
  • Support office and departmental initiatives and cross-functional collaboration by partnering with teams and leadership to implement and maintain workplace policies, procedures, and ad hoc workplace and administrative initiatives. 

Safety & Security (20%)

  • Assist in the development, maintenance, and performance of emergency response plans and trainings. Monitor daily security operations including CCTV, access control, and alarm systems. Conduct safety audits, inspections, and risk assessments to identify potential hazards. 
  • Help implement increased safety and security measures. 

Ongoing Learning

  • Actively pursue professional development and contribute to a culture of learning by building skills and sharing knowledge.

WHAT YOU'LL BRING
  • 2+ years of relevant professional experience in office management, hospitality, and/or event coordination.    
  • Demonstrated positive, service-oriented approach to work. 
  • Excellent written and verbal communication skills to be utilized with all levels of the organization, including presenting information to top management and welcoming critical community stakeholders into the space.  
  • Highly reliable and able to meet deadlines. 
  • Strong problem solving and troubleshooting skills.  
  • Strong collaboration skills and abilities to work within a team.  
  • Ability to take ownership of certain projects and tasks and correctly manage daily responsibilities and shifting priorities without direct supervision.   
  • Strong attention to detail.

PHYSICAL REQUIREMENTS

This role may require the ability to:
  • Sit for extended periods with occasional standing and walking
  • Type, file, and/or handle office equipment
  • Lift and carry materials
  • Read documents, conduct computer work and document review
  • Conduct consultations, meetings, court proceedings, and have telephone communications (applies for active litigating roles)
  • Travel to courts, client locations and other legal proceedings as required (applies for active litigating roles)

COMPENSATION

We offer a competitive salary and excellent, comprehensive benefits. We also offer a casual and congenial work environment. 
 
Salaries at Earthjustice are determined by working location and are commensurate with the experience required. The annual salary range for this role in San Francisco, CA is $70,700 - $78.500
