The Role 
Creative Assembly is looking for a Studio Support Administrator to join the Studio Support team based at our headquarters in Horsham, in the heart of West Sussex. 
 
As a Studio Support Administrator, you will be the first point of contact for our employees, external visitors, and callers alike; providing everyone with a positive experience at the studio. You will support the wider operations team and ensure security standards are in place for all visitors to the studio.  
 
You will have a positive outlook and be able to deal with queries from employees and visitors alike in an authentic way, be focused on the job at hand, and be able to work independently as well as part of a team.  
 
This role is In-Studio only and cannot be offered as hybrid or fully remote.  
 
What you’ll be doing 
This exciting role will see you working as part of the existing Studio Support team liaising with a range of staff and getting to know the wider studios.  
 
On a day-to-day basis, you will: 
  • Provide support for specific departments, assisting with travel, events, and inquiries as their business partner. 
  • Provide first aid and fire marshal support. 
  • Manage access cards for employees. 
  • Coordinate contractor access and ensure safe work procedures. 
  • Welcome and sign in external visitors. 
  • Oversee company parking, manage access, and provide documentation. 
  • Manage all studio business travel, including flights, hotels, and transport bookings. 
  • Handle visa applications for staff travel. 
  • Assist with office furniture relocation across the building. 
  • Plan and execute internal and external company events. 
  • Arrange catering for meetings and VIP visits. 
  • Book offsite meeting spaces for leadership. 
  • Set up new vendors to support business needs. 
  • Maintain quality standards with soft services providers. 
  • Organise team-building events. 
  • Monitor studio security and follow risk assessment protocols. 
  • Ensure external personnel sign NDAs to protect studio IP. 
  • Order office supplies. 
  • Occasional weekend availability to assist with external events or essential work. 
  • Manage massage bookings and staff notifications. 
  • Submit internal and external event communications. 
  • Process purchase orders and payments for events and invoices. 
  • Order gifts for employees celebrating life events. 
  • Handle mail processing and post-office trips. 
  • Maintain spreadsheets for travel, tasks, and social events. 
  • Make approved online purchases. 
  • Arrange courier services and complete necessary forms. 
  • Reconcile monthly credit card expenses. 
  • Supporting the Studio Support Lead with ad-hoc project and research work.

  • Bright, pleasant, and welcoming manner 
  • Confident and effective communicator 
  • Able to demonstrate initiative and work with minimal supervision 
  • Excellent attention to detail 
  • Proficient in Excel, Word, and Outlook 
  • Previous experience in a busy office and/ or reception environment 
  • Willingness to expand the traditional role of administrator and become more integrated with the business 
  • Flexible, willing, and able to take on responsibilities outside the remit of the job description 
  • Able to work in a fast-paced environment with short notice requests 
Optional Extras 
  • Front of House experience for a similar business 
  • Experience with booking travel for a large office or studio 
  • Experience in a customer service role
