Description

The Program Coordinator will support the operational management of the Health Scholar and additional workforce programs. The Program Coordinator will be assisting in key operational work as assigned by the Program Manager, Regional Manager or Director. The Program Coordinator will maintain administrative activities and support day to day tasks related to the onsite programs including: recruitment, enrollment, administrative support, marketing and additional tasks as related to the programs.

 Position Description: 


Recruitment and Enrollment 

  • Present program overviews to classrooms on college campuses
  • Support recruitment efforts by attending job fairs, community events, distributing flyers on campus, or facilitating open house events
  • Respond to applicant phone and email inquiries in a timely manner
  • Develop and maintain trackers to ensure organization of enrollment processes
  • Prepare materials for orientation and interviews
  • Compose communication to applicants regarding their current status and next steps
  • Ensure that all applicants’ health records, background checks and drug screens are compliant with health system policies and are filed appropriately

File Management 

  • Assist COPE Health Solutions staff with planning for and executing file audits of active files to ensure compliance
  • Assist COPE Health Solutions staff with auditing online platform profiles to ensure accuracy
  • File paperwork as appropriate
  • Enter information into online platforms as needed

Departmental Operations 

  • Work with the Scholars to ensure that Scholars are appropriately scheduled for weekly shifts
  • Ensure that monthly hours are entered and confirmed on the online platform as appropriate

Training Operations 

  • Track and support applicants with training modules and review session
  • Work with the program manager to prepare in-person trainings sessions, practical exams and written exams

Other Duties 

  • Maintain an operational work plan as required by the Program Manager
  • Assist in ensuring Policies and Procedures for the COPE Health Scholars Programs are upheld
  • Assist with scheduling, space reservations and coordinating for meetings
  • Attend and participate in Leadership Team and Executive Team meetings
  • Maintain an open line of communication up and down the chain of command including bringing all questionable or “red flag” situations and matters to the Program Manager, Regional Manager, and Director
  • Assist in the efficient execution of operations of program
  • Meet or exceed all milestones, deadlines and deliverables of any work plan set by the Program Manager and Director

Qualifications: 

  

  • Enrolled in or graduated from the Health Scholar Program preferred
  • Past participation in the Health Scholar Program Leadership Team preferred
  • Strong customer drive and dedication to quality and success
  • Able to work collaboratively and effectively while handling multiple projects on various timelines in an extremely fast-paced environment
  • Excellent interpersonal, oral and written communication skills
  • Detail-oriented and able to work well independently
  • Analytical thinking skills and a strong and dedicated work ethic are required
  • Proficiency with Microsoft Office programs (Outlook, Word, Excel and PowerPoint)
  • Familiarity and proficiency with social media including Facebook, Twitter, Instagram, LinkedIn and Snapchat
