About the Job            
            
The Event Services Specialist is responsible for creating strong relationships with various event planners within CCU, acting as an event liaison through management of the 25Live scheduling system and oversight of the two full time Event Services supporting staff. This full-time professional staff member reports to the Director of Campus Activities & Leadership. The role requires high attention to detail, planning, and organization of Academic Term campus facilities and resources.       
      
The department of Campus Activities & Leadership (CA&L) believes teamwork is necessary for organizational success and so our team promotes innovation, creativity, and problem solving. As such, candidates must understand, believe, and actively contribute to accomplishing the mission and vision of the Campus Activities & Leadership department which is to enhance the student’s educational experience through holistic care and leadership development by facilitating interactions and programs outside of the classroom. This role is 100% onsite, requires some evening and weekend hours.

We’re looking for candidates who have:            
  1. Experience in event planning, customer service, or related field.
  2. Strong organizational, communication, and interpersonal skills; detail oriented.
  3. Energetic, positive attitude, self-starter with high attention to organization and managing many details, events, and requests.
  4. A record of demonstrated successful administrative leadership, experience managing and supervising professional and/or support staff.
  5. Able to work in a high-energy, fast-paced environment while managing multiple events simultaneously.
  6. Able to learn and manage online scheduling systems.

In this role, the Event Services Specialist contributes to the mission by enhancing the student’s educational experience through holistic care and leadership development by facilitating interactions and programs outside of the classroom.             

Event Services Operations & Management 
     
  1. Comprehensively manage and drive the performance and growth of the services provided for CCU Event Planners through supervision of the AV Event Technician Support staff and all student worker roles such as the event assistant team, Leprino front desk workers, and AV student staff.
  2. Orchestrate the administration of our 25Live scheduling software system by overseeing the backend upkeep via Collegenet support use, offering information regarding resources, best practices, and CCU policies, as well as partnering with support staff who handle the approvals, edits and trainings.
  3. Spearhead the services our department facilitates for the University event planners, fostering prompt and clear communication in interactions with key stakeholders and establishing strong working relationships by providing consulting expertise for the purpose of executing excellent events at CCU.
  4. Institute standards and expectations for Facility Rentals and vendors to ensure compliance and alignment to institutional beliefs and policies during their time entering into and while under contract.
  5. Operationalize the Leprino Front Desk as a hub for Event Services support, including guest relation information, resource storage, and facility rental support. Oversee the Student Workers at the Leprino front desk. This includes interviewing, hiring, scheduling desk coverage for Fall & Spring Semesters, approving time sheets bi-weekly, and trainings.
University Initiative Administration       
  1. Play a key role in Commencement event planning by serving as the CUS Commencement Staff Coordinator, attend planning meetings, accomplish assigned event tasks, organize staff role assignments, facilitate trainings, foster cohesive communication within the larger picture of Commencement organization, and conduct extensive after-action review feedback.
  2. Initiate and augment conversations between event planners. Serve as a catalyst for Coordinated Calendar events like Weekend of Welcome, Symposium, and CCU Conversations to encourage space and resource equity among key stakeholders at the University. Design and develop processes and procedures for the overall execution of event planning from the submission of scheduling to event arrangement.
Campus Activities & Leadership Collaboration      
  1. Participate in and actively contribute towards Campus Activities & Leadership major campus events, professional development, and training opportunities throughout the year including retreats, staff meetings, chapel programming, one-on-ones.
  2. Prepare, manage, and steward the operating budget and expenditures associated with key areas of oversight. Track spending through prompt reconciliation through Concur systems, and completing the various components associated with financial processing requests. Modeling and fostering practices that demonstrate responsible stewardship of available resources.
  3. Complete special projects and other duties as assigned.
Work Environment

While performing the duties of this job, you may be required to walk, stand, sit, reach with hands and arms, balance, stoop, speak with clarity, and have appropriate vision and hearing capabilities. The employee must occasionally lift and/or move up to 50 pounds. The employee may work occasional irregular hours, including some nights and weekends. Colorado Christian University expects all faculty and staff to become a part of the University community by participating in activities and events that occur on the campus throughout the year, which may occur during evenings and weekends.

The pay range for this job is $20.00 - $20.75 per hour. Pay is assigned by reviewing a combination of job-related factors that may include: internal/external pay equity, the salary structure/pay grade, or a candidate’s qualifications/experience for the job. A wage range posted is not a guarantee of a specific wage and CCU reserves the right to make pay decisions based on economic and equity considerations.   2. Able to effectively communicate personal faith and apply biblical principles and convictions in the workplace. Must have a strong sense of calling to the ministry of Colorado Christian University.
  3. Regularly attend and be engaged in meaningful involvement in a Bible-believing evangelical local church. Knowledgeable about the Word of God and passionate about Christian education.
  4. Must be a traditional evangelical Christian whose lifestyle is in consonance with sound Christian principles, is compatible with CCU’s Statement of Faith, and is in agreement with the Strategic Priorities promulgated by the University.
