The Administrative Assistant for
the College of Undergraduate Studies (CUS), School of Education (SoE) is a full-time position that has oversight of day-to-day operation of the SoE, and provides other administrative support and assistance as needed. Exceptional relational, communication, and organizational skills, as well as a polished, professional demeanor and an interest in and passion for student development are required for this position as the successful candidate will regularly interact with students, parents, faculty, and staff.

We’re looking for candidates who have:    

  1. Bachelor's degree strongly preferred.
  2. Minimum of three years professional experience in an administrative support or clerical capacity strongly preferred with exceptional written and verbal communication skills.
  3. Polished customer service, organizational and record-keeping skills.
  4. Proficiency with computer software, especially MS Word, MS PowerPoint, MS Outlook, and basic understanding of software applications related to SoE administration. Ability to use appropriate software and technology in the learning environment.
  5. Ability to use confidentiality when necessary.
  6. Eagerness to collaborate and work effectively on a team.
  7. Strong problem-solving and organizational skills.
  8. Effective time management skills.
  9. Passionate about higher education and dedicated to excellence in teacher preparation.

Key Job Duties     

Mission Contribution     

Contribute to CCU’s mission: Christ-centered higher education transforming students to impact the world with grace and truth. In this role, the Administrative Assistant contributes to the mission by serving students and staff with excellence by being the first office contact for students, faculty and staff in the School of Education. This role supports faculty and staff in all operations, initiatives and daily activities.     

SoE Responsibilities     

  1. Manage the process by which students are admitted into the SoE, including background checks and fingerprinting.
  2. Support the Registrar, Life Directions Center, and other CCU offices as it relates to the administration of the SoE.
  3. Assist the Director of Assessment in creating reports to support assessment and accreditation efforts.
  4. Manage the process of faculty and staff reimbursement to include mileage and other expense reimbursements.
  5. Compile detailed information and then coordinate class scheduling for the SoE each semester.
  6. Collect, calculate and enter all information for payments which are due to the School of Education’s School-Based Teachers and Supervisors and produce Continuing Education Certificates for each of the School-Based Teachers.
  7. Manage the collection, updating, and filing of student records associated with the SoE.
  8. Coordinate between the professors/dean/bookstore to order textbooks that will be required of the students to have for each upcoming semester.
  9. Manage the purchase and inventory of all supplies associated with the SoE.
  10. Provide a first-line of customer service for students in the SoE office area.
  11. Manage the recordkeeping and reporting associated with the PRAXIS tests.
  12. Support the Dean and SoE faculty in administrative tasks.

Scheduling     

  1. Oversee the departmental calendar of meetings, deadlines, preview events, and important academic dates.
  2. Schedule and coordinate advising meetings between all SOE students and their advisors each semester.
  3. Schedule and coordinate student Action Research Project presentations for their SOE student advisors.
  4. Write, revise, update, file, and/or disseminate agendas and minutes of faculty meetings and advisory council meetings.

Technology and Workflow     

  1. Direct, train, and supervise work-study job flow and work study needs requested by the SoE faculty.
  2. Update and maintain the departmental CCU Connect webpage and social media presence.
  3. Build courses each semester and coordinate with other departments to schedule rooms.
  4. Compile information and input forms into E-trieve for student program changes, faculty reimbursement, requisitions, etc. for the SoE
  5. Assist with on-boarding of new employees, submit technology and maintenance requests, develop and submit collateral for marketing of SoE events.
  6. Keep current with new technology and willing to learn how to enter information in various digital formats.

Events     

  1. Manage SoE special events (including baccalaureate), by making meeting room reservations, plan event food and beverages, purchase and display decorations, coordinate with guest speakers (including payments), travel, arrange entertainment, and post-event surveying.
  2. Assist other Schools and Departments with campus-wide events.

Work Environment

While performing the duties of this job, you may be required to walk, stand, sit, reach with hands and arms, balance, stoop, speak with clarity, and have appropriate vision and hearing capabilities. The employee must occasionally lift and/or move up to 25 pounds. You may be required to work occasional irregular hours, including some nights and weekends. Colorado Christian University expects all faculty and staff to become a part of the University community by participating in activities and events that occur on the campus throughout the year, which may occur during evenings and weekends.

Pay and benefits will be discussed in more detail as candidates progress through the interview process. The pay range for this job is: $15.00 - $17.00 per hour. Pay is assigned by reviewing a combination of job-related factors that may include: internal/external pay equity, the salary structure/pay grade, or a candidate’s qualifications/experience for the job. A wage range posted is not a guarantee of a specific wage and CCU reserves the right to make pay decisions based on economic and equity considerations.   1. Committed follower of Jesus Christ, who believes there is no salvation apart from faith in his atonement on the cross, by grace alone becoming "born again" thus beginning a personal relationship with Christ, the Son of God.
  2. Able to effectively communicate personal faith and apply biblical principles and convictions in the workplace. Must have a strong sense of calling to the ministry of Colorado Christian University.
  3. Regularly attend and be engaged in meaningful involvement in a Bible-believing evangelical local church. Knowledgeable about the Word of God and passionate about Christian education.
  4. Must be a traditional evangelical Christian whose lifestyle is in consonance with sound Christian principles, is compatible with CCU’s Statement of Faith, and is in agreement with the Strategic Priorities promulgated by the University.
