Position Description: The Executive Assistant will serve as the primary administrative support for all the C-suite staff. The Executive Assistant must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion. The ideal candidate will have the ability to exercise good judgment in a variety of situations and will possess strong written and verbal communication, administrative, and project management skills.   

   

Essential Duties & Responsibilities  

  • Support the work of the Senior Executive Leadership Team (SELT).
  • Support the CEO with scheduling, meeting management, and coordination of activities
  • Work with the CEO, the Board of Directors, the Chair of the Board of Directors to arrange meetings, share documents, take notes, and assist in planning.
  • Anticipate the SELT needs and proactively bring together appropriate people and resources to support the executives in carrying out their duties and role.
  • Support and help manage calendars of SELT, help change schedules when necessary.
  • Handle confidential information in a professional and discreet manner.
  • Ensure various administrative tasks are done in an effective and efficient manner, including copying, scanning, reviewing outside mail, drafting correspondence, screening phone calls when requested, and maintaining executive files as needed.  
  • Work independently and within a team on special and nonrecurring and ongoing projects. 
  • Assist with planning and implementation of various projects and events, as needed.

  • Perform other related duties, responsibilities and special projects as assigned.

   

Qualifications, Skills & Abilities:  

  • Must be passionate about Caminar's mission.
  • Minimum three years’ experience providing direct support to a C-Level executive is preferred.
  • Strong project management experience or certification
  • BA/BS from an accredited college/university is required.
  • Previous experience working in a non-profit, specifically in a community based behavioral health organization, is highly desired.
  • Excellent oral and written communication skills, including an ability to write a variety of materials to different audiences.
  • Experience with website management, social media web platform, and software applications including Adobe Photoshop, Illustrator, and InDesign is highly preferred.
  • Must be a dynamic self-starter with demonstrated ability to work independently on special projects. 

   

Special Requirements:  

  • Must be able to meet and receive a criminal records clearance, as required by Title XXII, other licensing regulations, and Caminar practices.
  • This position will require frequent driving so maintaining a valid CA driver license, reliable personal automobile, a clean driving record, and current insurance as required by law are essential job requirements. 
  • A personal cell phone with reliable service and, if applicable, a data plan to use for business purposes.
