JOB TITLE: Mailroom Coordinator
LOCATION: Arlington, TX
FLSA STATUS: Non-Exempt
REPORTS TO: Director of Internal Services
WORK HOURS: Monday – Friday 8 AM – 5 PM, ability to work weekends and/or extended hours, as needed.
POSITION SUMMARY:
The Mailroom Coordinator is responsible for the coordination and distribution among departments of incoming and outgoing mail, mail automation production, mailing, and assembly.
DUTIES/RESPONSIBILITIES:
- Oversee and coordinate the work efforts of the mailroom, including prioritization of projects and answering customer questions.
- Manage all postage equipment and maintain it in good working order.
- Keep an accurate log of all departments’ postage costs, reconciling accounts daily/weekly/monthly.
- Performs mail duties including addressing mailings, sorting/delivery of incoming, and processing outgoing mail.
- Schedules and oversees projects and mailings.
- Maintains needed inventory.
- Complete daily reporting logs for projects/mailings.
- Complete end-of-month reporting for the chargeback system, which includes entering invoices for projects.
- Train temporary help as required for projects.
- Assist with receiving and shipping packages with UPS, FedEx, etc., including accepting incoming deliveries, verifying package information, logging and tracking shipments, and communicating/delivering of shipments to fellow team members.
- Other duties as assigned.
SUPERVISORY RESPONSIBILITIES:
KNOWLEDGE, SKILLS, AND ABILITY REQUIREMENTS:
- High School diploma or equivalent preferred.
- Customer-service oriented work approach to fulfill employees’ work-related needs.
- Ability to learn and adhere to postal regulations (experience is a plus).
- Ability to prioritize work and perform well under pressure.
- Ability to work without close supervision and to set one’s own priorities.
- Ability to drive the company van for work-related needs.
- Ability to be in contact with cleaning solvents when cleaning equipment.
- Ability to operate manual and electric pallet jacks.
EXPERIENCE AND OTHER REQUIREMENTS:
- 2+ years’ experience in computer skills, including Word, Excel, Outlook, etc.
- Must be adaptable and flexible.
- Must have a valid driver’s license.
- Must pass the RVP program and maintain a “Green Light” status.
- Must adhere to the Code of Conduct of the USBC Registered Volunteer Program is a condition of employment and continued employment.
PHYSICAL DEMANDS:
- Must be able to remain in a stationary position, often standing or sitting for prolonged periods, along with walking throughout the facility.
- Must be able to bend, stoop, and/or climb.
- Must be able to move/lift up to 60lbs.
