Administrative Assistant

BAART Programs is seeking an Administrative Assistant to perform various administrative tasks and provide support to executive management. This role involves assisting with the preparation of reports, charts, documents, PowerPoint presentations, organizational charts, and spreadsheets, while maintaining confidentiality of both executive and patient information. Additional responsibilities include managing schedules and coordinating Zoom meetings. Travel may be required as needed.

The ideal candidate will be highly self-motivated, professional, and capable of managing their workload and prioritizing tasks in a fast-paced business environment.

Essential Duties & Responsibilities:

  • Perform general clerical duties to include, but not limited to:
  • Prepare reports, spreadsheets, and create charts/graphs
  • Meet tight deadlines from multiple management staff.
  • Maintain hard copy and electronic filing system
  • Maintain organization charts for company
  • Setup and coordinate meetings and conferences
  • Support staff in project-based work
  • Support organizational and department philosophies, goals, and objectives and through own behavior; lead and motivate others to do so.
  • Punctual and regular attendance is to be maintained.
  • Adherence to a code of conduct conducive to BayMark Services policy is expected.
  • Interact with all staff in a positive and motivational fashion supporting the Company's mission.
  • Other duties, as assigned

Qualifications:

  • Minimum age requirement of 18
  • High school diploma or equivalent with at least 3 years prior to experience in an office setting.
  • Excellent customer service skills and professional public presentation skills, including telephone etiquette.
  • Strong computer PC skills. Microsoft Word, Outlook, Zoom, PowerPoint, Visio and Advanced Excel (macros, applying custom formats and layouts)
  • Microsoft Office Certification preferred.
  • Ability to maintain contract and operation files in a systematic and orderly fashion
  • Satisfactory references from employers and/or professional peers.
  • Satisfactory criminal background check.
  • Self-directed with the ability to work with little supervision.
  • Flexible and cooperative in fulfilling all obligations.
  • Ability to understand and follow oral and written directions, establish and maintain effective working relationships with patients, program management, medical staff, and senior management staff. 
  • Ability to maintain routine records and communicate effectively, both orally and in writing.
  • Ability to work with a diverse population and exhibit excellent customer service skills.
  • Ability to work and interact with staff at all levels throughout the organization.
  • Robust organizational and project management skills with the ability to problem-solve issues as they arise.
  • Maintains patient and business confidentiality at all times

Salary Range:

The salary for this position is $20.96 an hour.

The salary for the candidate(s) selected for this role will be set based on a variety of factors, including but not limited to, experience, education, specialty and training.
