Job Summary
The HR Benefits Coordinator administers the daily employee concerns/matters in the following functional areas:  Human Resource Information Systems (HRIS), leaves of absence including ADA/Non-FMLA, benefits administration, multiple open enrollments, termination process, workers’ compensation, 401K retirement plan, tuition reimbursement, relocation and unemployment. Prior experience working with multiple state locations and the ability to work closely with remote offices to ensure program compliance and employee satisfaction is required. This position will provide an employee-oriented, high performance culture that emphasizes empowerment, quality, productivity and standards, goal attainment, and ongoing development of a superior workforce.
 
Essential Job Functions
  • Assists with education to employees regarding the Health & Welfare programs which includes:
    • Preparing reports, which may include impromptu requests
    • Entry of enrollment life events in HR/Payroll System, ExponentHR
    • Educating employees on self-funded programs
    • Benefits orientation & training
    • Multiple Open Enrollment preparations
    • Benefit arrears
    • Invoice reconciliation and audit
  • Backup to HR Business Partners for entry of termination processing activity with direct supervisors and HR Management for entry in HR/Payroll system, ExponentHR.
  • Assist with all unemployment claims and hearings for each state timely and accurately with third party administrator.
  • Assist with daily the workers’ compensation injury/illness reports which includes:
    • Reporting injury/illness with Insurance carrier and Medcor triage service
    • Coordinating injury/illness information with Claims adjusters
    • Partnering with Broker on claims accuracy
  • Assists with the 401K Retirement Plan which includes deferral feedback files, funding and correcting errors if applicable.
  • Assists the Non-FMLA/ADA process in-house that arise and once FMLA/State leave of absence has been transferred/completed.
  • Administer and respond to high volume email communication/fedex activity.
  • Educate employees on all current policies and procedures accurately.
  • Complies with all BayMark policies and procedures, Compliance policy and Code of Ethics.
  • Complies and protects the interest of Employee/Company with existing governmental and labor legal and government reporting requirements including any related to but not limited to the Equal Employment Opportunity (EEO), the Americans With Disabilities Act (ADA), the Family and Medical Leave Act (FMLA), California Family Rights Act (CFRA), Pregnancy Disability Leave (PDL), Individual states leaves and regulations, Employee Retirement Income Security Act (ERISA), the Department of Labor, worker compensation, the Occupational Safety and Health Administration (OSHA), San Francisco City/County Ordinances and so forth including Paid Parental Leave (PPL). Maintains minimal company exposure to lawsuits.
  • Must be present during working hours in office for in person meetings and access to a computer without violating company policy.
  • Remain composed in a stressful environment, frequent deadlines and multiple priorities.
  • Ability to interact with all staff in a professional, ethical, positive and motivational fashion supporting the Company’s mission.

Minimum Qualifications

  • Minimum of a High School/GED/Associates or equivalent in Human Resources, Business, or Organization Development or equivalent experience preferred.
  • 1-2 years of either Human Resources or Benefits experience preferred.
  • Professional in Human Resources or Benefits experience preferred.
  • Experience in a fast paced working environment in support 3,000+ employees.
  • Experience in the self-funded benefits administration and other Human Resources in a corporate setting.
  • Excellent computer skills in a Microsoft Windows environment. Preferred intermediate Excel, ExponentHR, Equifax, third party leave administrator and demonstrated skills in database management and record keeping.
  • Effective oral and written communication.
  • Excellent interpersonal and coaching skills.
  • Evidence of the practice of a high level of confidentiality.
  • Excellent organizational skills.
  • Ability to multi-task and handle large volume of detail accurately and efficiently and meets deadlines.
