Sr. Administrative Assistant - Program Management-Quality-Regulatory-Safety (PQRS)

Position Summary:

The Program Management-Quality-Regulatory-Safety (PQRS) Administrative Assistant position is an important part of the Development team. This is a shared administrative role with responsibilities to the four groups and the Chief Operating Officer. This individual is responsible for providing administrative support to the heads of Program Management, Quality, Regulatory, and Safety, as well as members of their functions. This position requires the ability to organize and prioritize work for a number of individuals and understand the key deliverables of these functions.

Essential Functions of the Job:

  • Manage calendars, schedule and coordinate meetings, appointments, and travel arrangements
  • Support planning and coordinating of events sponsored by functional teams
  • Manage expense reports using Concur
  • Manage POs and invoices
  • Data/document entry into information management systems
  • Prepare and modify documents including presentations, reports, drafts, memos, and emails
  • Collect and disseminate information for use in meetings of program teams, functions, governance bodies
  • General administrative duties to support the functional teams
  • Other related duties may be assigned
  • No travel expected


  • BA/BS + 2 years administrative experience or 5 years of administrative experience in a similar office setting
  • Proficiency in the Microsoft suite of tools including Outlook, Word, PowerPoint, Excel
  • Ability to learn functionally relevant software such as Smartsheet and Sharepoint
  • Must have strong written and verbal communication skills
  • Ability to multitask with a sense of urgency and prioritize
  • Excellent organizational skills and attention to detail
  • Self-motivation and ability to work both independently and as a team player
  • Ability to be flexible and willing to accept new responsibilities in a fast-paced environment
  • Uphold a strict level of confidentiality

Physical Demands and Work Environment:

This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand on a stool as necessary.

This job operates in a professional office environment and routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
