Your Role:

As the Payroll and Accounting Projects Manager, you will play a critical role in ensuring the seamless execution of payroll processes for our clients as you oversee our team of 4-6 Payroll Specialists. Additionally, you will be responsible for managing and leading special projects that contribute to the continuous improvement and expansion of our services. At times, this may also involve supporting Controllers with various client related tasks and responsibilities as needed.
 
This position requires a combination of technical expertise in payroll administration, project management skills, and a customer-centric approach.  The ideal individual will have a proven ability to thrive in a fast paced environment and adeptly prioritize and handle multiple assignments concurrently. The role requires the ability to exercise discretion and independent judgment on significant matters.
 
The Payroll and Accounting Projects Manager should exhibit excellent written and verbal communication, while working closely with all levels of management, employees, clients, and external professionals. Additionally, the role requires the ability to manage a team with a friendly, positive approach and be comfortable providing constructive feedback. To be successful in this role, the individual must be quality and client focused, results-oriented, detailed-oriented, a team player, intuitive, organized, analytical and dependable.


Essential Duties & Responsibilities:   
    Team Management:
    • Lead and mentor assigned Payroll Specialist team.  Motivate team, provide coaching, deliver timely feedback and conduct reviews to ensure staff are set up for success
    Payroll Administration:
    • Oversee end-to-end payroll processing for multiple clients, ensuring accuracy and compliance with relevant regulations
    • Collaborate with Payroll Specialists and clients to gather and validate payroll-related information
    • Oversee projects to convert a client’s payroll provider
    • Stay updated on changes in tax laws, labor regulations, and other factors affecting payroll, and implement necessary adjustments
    • Manage the year-end 1099 process
    Accounting Special Projects Management:
    • Working closely with the Director and Assistant Directors of Client Services, lead and coordinate special projects aimed at enhancing our bookkeeping services, streamlining processes, and improving overall client satisfaction
    • Develop project plans, timelines, and budgets, and ensure projects are delivered on schedule and within budget
    • Conduct regular project reviews and provide status updates to senior management.
    Client and ADC Relations:
    • Serve as the main escalation point of contact for payroll-related inquiries from clients and ADC staff
    • Build and maintain strong client relationships through effective communication and a proactive approach to problem-solving
    Controller Support:
    • As needed, provides high-level support to Controllers by assisting with various client-related financial tasks and responsibilities. Tasks can includes but not limited to: contributing to financial analysis, developing KPIS, maintaining reporting dashboards, researching industry-specific benchmarks, reviewing and approving various tax forms, reconciling tax returns, coordinating with external auditors and tax advisors, interpreting legal documents, and assisting in implementing accounting-related changes.
    • As needed, serves as a valuable resource during client transitions, participates in group meetings, and handles other assigned duties and special ad hoc projects
    Quality Control:
    • Implement quality control measures to guarantee the accuracy and integrity of payroll data
    • Conduct regular audits to identify and address any discrepancies or issues+
    Essential Skills & Experience:  
     
    The Payroll and Accounting Projects Manager will be have 7+ years of relevant accounting experience, including payroll, a minimum of 1 years of CPA firm or outsourced accounting experience, demonstrated knowledge of generally accepted accounting principles and tax regulations, and 5+ years of supervisory experience.

    • High degree of computer literacy, including extensive knowledge in Microsoft Office, specifically Outlook and Excel
    Minimum Education & Training Required:   
    • Bachelor’s degree in an accounting related field
    • Proficient with various accounting software, such as: QuickBooks Desktop, QuickBooks Online, NetSuite, SaasAnt and Sage Intacct. If not proficient must have willingness to put in time to learn.
    • Experience with Intuit Payroll a plus
    • Experience with third-party applications is preferred, such as: Bill.com, Tallie, Team Work and budgeting & forecasting applications. If not proficient must have willingness to put in time to learn.
    • Ongoing desire to expand knowledge of new technology and applications
