STATUS:     FULL-TIME       

 

POSITION:    Payroll Support Specialist       

 

IMMEDIATE SUPERVISOR: Administrative Officer___________

 

FUNCTION:

Performs a variety of payroll office tasks related to processing both full-time and part-time employees. Must be a highly organized and detail oriented individual who has extensive experience with administrative payroll work. Ensures payroll administrative operations run at maximum efficiency in achieving its optimal goal with overall departmental mission.

 

DUTIES AND RESPONSIBILITIES: 

  1. Assists in processing bi-weekly payroll and benefit data for active employees in the ABHS JDE World and/or Enterprise One; works closely with assigned person under the Finance Department and Human Resource Department to determine deductions and benefits.
  2. Calculates changes to payroll, check requests, and reimbursement; ensures all necessary changes are made.
  3. Assists in processing payroll in the ABHS JDE World and/or Enterprise One financial software system.
  4. Counsels employees regarding payroll issues including retirements, taxes, deductions, and vacation/sick time.
  5. Conducts verification of employees and assists with boarding of new hires and existing employee on computer system as required.
  6. Gathers, analyzes, and summarizes financial information; prepares reports for ABHS and other as required.
  7. Answers inquiries and provides information; researches and resolves payroll problems and discrepancies.
  8. Serves as informational resource to staff; assists in providing leadership, direction, and follow-ups.
  9. Sets up run schedules for payroll; writes procedures for each payroll job.
  10. Verifies and maintains employment records for payroll, benefits, and any necessary documents as required.
  11. Must be willing to work with handling confidential information and demonstrated attention to detail, professional attitude, and ability to maintain confidentiality i.e. personal information, compensation & benefits, payroll, health & medical information, and any other information.
  12. Reconciles benefit withholding to statements and makes necessary corrections.
  13. Assist and conducts training initiatives as required.
  14. Must be willing to work with handling confidential information and demonstrated attention to detail, professional attitude, and ability to maintain confidentiality.
  15. Performs other financial or accounting duties as assigned such as assist with annual agency’s inventory.

 

 

OTHER REQUIREMENTS:

Employee focus, agency service, and a willingness to assist as needed are expectations for all employees. Must possess an exceptionally high level of attention to detail as well as accuracy, and have strong grammar, spelling and keyboard skills. Must have the ability to identify opportunities for payroll improvement.

 

KNOWLEDGE, SKILLS, ABILITIES, AND WORKER CHARACTERISTICS:

  • Strong customer service skills
  • Excellent communication, analytical and interpersonal skills
  • Knowledge of basic accounting principles
  • Knowledge of payroll procedures and policies
  • Knowledge of computer operations and software
  • Basic to Intermediate Excel Skill Level

 

QUALIFICATIONS:

  1. Requires GED or high school diploma plus three years of payroll experience.
  2. Accounting courses beyond high school may be substituted for 2 of the 3 years’ experience.
  3. Must have solid knowledge of payroll practices and procedures as well as basic payroll tax policies.

 

REQUIREMENTS:

Works on Monday through Friday 8:00 AM to 5:00 PM daily.  Minimum of 3 year payroll experience in an office setting with strong customer service skills.  Basic PC skills, JDE World and/or Enterprise One including MS Word, Excel and Outlook and Previous office experience in a behavioral health setting preferred. Must possess a valid Arizona driver’s license.  Must be able to work collaboratively with others or as a team.  Must pass fingerprint/background check and drug screening.  Indian preference for registered members of the White Mountain Apache Tribe or any registered member of a federally recognized Tribe or Nation, after meeting all other qualification.
