POSITION: INTAKE & TRANSPORTATION SPECIALIST

CLASSIFICATION CODE: NON-EXEMPT FULL TIME

DEPARTMENT: INTAKE

REPORTS TO: INTAKE PROGRAM MANAGER

 

STATEMENT OF JOB: The Intake & Transportation Specialist supports the Intake Department by transporting clients, coordinating transportation services, tracking and following up on referrals, completing intake screenings/assessments, and providing receptionist/front desk coverage. This position ensures clients have safe, reliable transportation, timely access to behavioral health services, and a smooth, trauma-informed experience entering the agency. The specialist must follow all safety laws and policies while driving on Arizona and White Mountain Apache Tribal roadways. Agency vehicles may only be used for ABHS purposes. Must endorse and follow all ABHS policies and procedures.

 

DUTIES AND RESPONSIBILITIES: Client Transportation (Primary Duty) - The Intake & Transportation Specialist is responsible for directly transporting clients using agency vehicles for ABHS purposes only. Staff may not use agency vehicles for any personal errands or non-work activities at any time.

 

Transportation Duties Include:

 

  • Safely operating agency vehicles strictly for ABHS business and client transport only.
  • Never using the vehicle for personal use or transporting unauthorized individuals.
  • Maintaining professional boundaries and trauma-informed communication during transport.
  • Conducting safety checks before driving (fuel, tires, lights, cleanliness, vehicle readiness).
  • Planning transportation routes based on location, weather, and scheduling needs.
  • Monitoring client behavior during transport and responding appropriately to signs of escalation.
  • Providing real-time communication to Intake staff regarding client arrival times, delays, or issues.
  • Never making unapproved stops such as stores, restaurants, or personal errands.
  • Follow the recommended travel radius of 20–30 miles one-way or up to 45 minutes of drive time unless supervisor-approved.
  • Other transportation duties as assigned

 

Transportation Safety & Legal Compliance - The staff member must comply with all Arizona State traffic laws and all White Mountain Apache Tribal laws, including:

 

  • Speed limits and school zones
  • Hands-free phone requirements
  • Seatbelt laws
  • Tribal police checkpoints and detours
  • Wildlife/livestock roadway safety expectations
  • Temporary tribal travel restrictions

 

Behavioral Transport Safety:

 

  • Drive defensively and always remain alert.
  • Keep vehicle doors locked during transport.
  • Ensure all clients wear seatbelts.
  • If a client becomes unsafe: pull over in a safe public location, contact supervisor, and call Tribal Police or 911 if immediate safety is at risk.
  • Do not transport if unsafe weather, hazardous roads, vehicle issues, or unsafe client behavior is present.

 

Transportation Documentation

 

  • Record mileage accurately for ABHS purposes only.
  • Document pickup/drop-off times and attendance.
  • Report safety concerns, no-shows, or route issues immediately.
  • Maintain accurate logs and enter documentation into the EHR.

 

Assessments & Intake Support

 

  • Conduct intakes, biopsychosocial assessments, and eligibility assessments (within credentials).
  • Complete basic risk screenings and warm handoffs.
  • Assist clients with paperwork and navigation.
  • Support team with preparation.

 

Reception & Front Desk Duties

 

  • Provide a welcoming, trauma-informed greeting to clients.
  • Handle phones, scheduling, client check-ins, and messaging.
  • Maintain front desk organization and communication flow.
  • Assist clients with forms and questions.
  • Referral tracking and follow-up

 

Collaboration

 

  • Work closely with ABHS teams.
  • Communicate client transport status, delays, and urgent issues.
  • Coordinate appropriately regarding high-risk clients.

 

Documentation & Compliance

 

  • Complete all documentation accurately and on time.
  • Follow agency, state, federal, tribal, HIPAA, AHCCCS, and IHS standards.

 

Other Duties as Assigned

 

  • Support special projects, community events, or overflow tasks.
  • Assist during high-volume periods or staff shortages.
  • Provide flexible support to maintain smooth department operations.

 

MINIMUM QUALIFICATIONS:

Minimum Requirements

 

  • High school diploma or equivalent
  • Experience in Behavioral Health
  • Strong communication and organization skills.
  • Ability to maintain confidentiality and professional boundaries.
  • Proficiency with EHR systems and basic computer applications.
  • Clean driving record and valid driver’s license.

 

Preferred Qualifications

 

  • Behavioral health or tribal health experience.
  • Familiarity with AHCCCS, IHS, WMAT communities, and local service systems.
