JOB DESCRIPTION

 

POSITION: EXECUTIVE ASSISTANT (CEO)

CLASSIFICATION CODE: EXEMPT FULL TIME

DEPARTMENT: MANAGEMENT

REPORTS TO: CHIEF EXECUTIVE OFFICER

 

STATEMENT OF JOB: The Executive Assistant enhances the effectiveness of the ABHS Management Team by providing information administration support in a well-organized and timely manner. Reporting directly to the Chief Executive Officer, the Executive Assistant provides executive support in a one-on-one working relationship. The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to ABHS Management. The Executive Assistant also serves as a liaison to the board of directors and senior management teams; organizes and coordinates internal communications; and oversees special projects.

 

DUTIES AND RESPONSIBILITIES:

  1. Abide by all applicable policies, procedures, and program standards of ABHS, White Mountain Apache Tribe, Indian Health Services, Arizona Health Care Cost Containment System (AHCCCS) and other pertinent regulatory authorities.
  2. Completes a broad variety of administrative tasks for the CEO including managing an extremely active calendar of appointments; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
  3. Plans, coordinates, and ensures the CEO's schedule is followed and respected.
  4. Communicates directly, and on behalf of the CEO, with ABHS Management and staff on matters related to CEO's programmatic initiatives.
  5. Researches, prioritizes, and follows up on incoming issues and concerns addressed to the CEO, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.
  6. Provides a bridge for smooth communication between the CEO's office and internal departments; demonstrating leadership to maintain credibility, trust, and support with senior management staff.
  7. Works closely and effectively with the CEO to keep him/her well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a "barometer," having a sense for the issues taking place in the environment and keeping the President updated.
  8. Provides leadership to build relationships crucial to the success of the organization and manages a variety of special projects for the CEO, some of which may have organizational impact.
  9. Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the CEO's ability to effectively lead the company.
  10. Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
  11. Participates as an adjunct member of the Executive Team including assisting in scheduling meetings and attending all meetings.
  12. Assists in coordinating the agenda of senior management team meetings and off-sites, and all staff meetings.
  13. Facilitates cross-divisional coordination of travel and outreach plans.
  14. Participation in all required ABHS training.
  15. Provide a positive role model to clients and staff through leadership, self-discipline, and genuine care for the treatment and recovery of clients. All clients and staff members must be treated with dignity and respect.  
  16. Participation in all required ABHS training.
  17. Reports/attends work in timely manner. Must be reliable and communicate directly with supervisor in all matters of attendance.
  18. Performs other tasks as assigned.

MINIMUM QUALIFICATIONS:

  1. High School Diploma or equivalent, Associates degree with three year’s experience preferred, Bachelor’s degree with one year experience preferred.
  2. Minimum of two years work related experience in mental health services and/or managed health care.
  3. Excellent written and oral communication skills with exceptional attention to detail, as well as professional meeting facilitation skills. 
  4. Strong interpersonal skills with an ability to work resourcefully and effectively with a wide range of people, teams, managers, supervisors, and vendors.
  5. Demonstrate critical thinking, problem-solving and organizational and time management skills with ability to work independently, with flexibility within prescribed deadlines.
  6. MS Office proficiency and familiarity with Adobe software and social media platforms.
  7. Must have a valid driver’s license and reliable transportation.
  8. Ability to pass all pre-employment testing, including, but not limited to, fingerprint clearance and background check.

 

 Preferred:

  1. At least 3 years’ experience working with Native Americans.
